**Key Relationships**
The Administration Officer reports to the Office Manager (Senior
School) who provides direction in relation to general Senior School
Office duties. The role works largely with the Director of Teaching,
providing direct support and liaises closely with other staff. Ultimately
responsible to the Principal via the Director of Corporate Services.

Westminster School's performance and reputation are enhanced because the high calibre administrative
management support and customer service provided through this role contributes to highly effective
School operations; and the contribution to the School's desired culture and to School improvement
initiatives made by the incumbent.
**_Position Overview: _**
The Administration Officer provides** **secretarial and professional support for the Director of Teaching, and
takes responsibility for a range of administration tasks associated with the School's teaching, learning and
assessment programs. The position also provides support to Curriculum Leaders and other staff as
required, and general administrative assistance for other School activities.
**_Key Responsibilities_**_: _
- Provide high level secretarial and general support to the Director of Teaching. Tasks include:
- maintaining diary, coordinating meetings for staff, parents and students, receiving
handling high level confidential and sensitive information, managing and collating data using
Forms and Excell, updating PowerPoint presentations, designing and formatting
documentation, mail merging and high-level use of Word and OneNote, arranging travel and
accommodation, booking conferences and seminars
- Purchasing items for DOT as required, processing payments, reconciliation of DOT credit
card monthly statements,
- Secretarial and administration support to groups convened by the DOT including arranging
meeting venues and catering, take meeting minutes as required, actioning items and
updating group sites on the intranet.
- Coordinate and perform administrative tasks required to support Senior School teaching, learning and
assessment processes and programs:
- Professional Learning Programs
- Support the DOT to plan and coordinate Professional Learning days
- Support the DOT to coordinate opt-in Professional Learning
- Support the DOT with the administration of the school's instructional coaching program
- Support the DOT with the school's Professional Learning Communities
- Arrange and monitor lesson observations of teachers with the DOT and Curriculum
Leaders
- Manage the production of termly Staff Awards and Certificates using extracted data from
the School Academic database
- The Teaching School Hub and Pre-Service Teachers
- Provide administrative support for the Teaching School Hub
- Provide administrative support for the Pre-Service Teacher Program
- Liaise with Universities, Pre-Service Teachers and Teaching staff
- Manage the Pre-Service Teacher data base
- Liaise with Human Resources, IT and Pre-Service Teachers to ensure all necessary
obligations are met.
- Student Voice Feedback and staff data
- Coordinate and distribute student voice feedback questionnaires
- Coordinate and manage the staff student voice reflections
- Coordinate and manage all staff data as required by the DOT, Curriculum Leaders and
Preparatory School Deputies
- Support Curriculum Leaders and Preparatory School Deputies to manage data for their
teams, using the school's Learning Management Platform.
- School online and bespoke learning and teaching programs
- Plan online and bespoke teaching programs timelines for the school in conjunction with
DOT, Curriculum Leaders and Preparatory School Deputies
- Coordinate the preparation and production of online and bespoke learning and teaching
program
- Support the DOT, Curriculum Leaders and Preparatory School Deputies to review the
quality of content on the school's Learning Management System
- Support the DOT and Curriculum Leaders to review and monitor timelines for assessment
and support the Curriculum Leaders and teachers to run catch up assessments.
