The primary purpose of the Outbound Warehouse Manager is to manage operators in the warehouse across the outbound function whilst also working hands-on across the channels to achieve daily targets. They must ensure they and their team comply with workplace health and safety and food safety policies.
The Outbound Warehouse Manager must provide leadership in relation to the labour planning, output and quality of outbound functions in the warehouse. They must ensure all checks are carried out throughout the pick and pack process. The Outbound Manager will be a role model of behaviour and play a crucial role in upskilling warehouse operators.
**Key Responsibilities**
**Outbound Warehousing**
- Ensure all retail, corporate wholesale and online orders are picked on time, in full and dispatched on the due date.
- Ensure that all picking is conducted according to FIFO and MLOR rules
- Allocate staff appropriately and work with the team to ensure the correct focus on achieving the delivery expectations of our customers
- Ensure orders are completed in line with any special instructions
- Manage order exceptions as they occur, solving resource, material and logistic issues
- Collaborate and liaise with other internal and external stakeholders to understand and action special customer requirements
- Communicate customisation requirements to the team and ensure team adherence to requirements and quality standards
- Complete all necessary system transactions and documentation in an accurate, timely and efficient manner
- Oversee the transport of products, working closely and communicating with drivers to ensure efficient delivery of packages
- Work closely with the relevant planner to ensure the correct allocation of stock to the relevant orders
- Respond to internal delivery queries in a timely manner
- Support all continuous projects as requested
- Work with the retail and planning team to create and implement seasonal distribution models
- Oversee the management of the Ricoh and the relevant customer service processes as required
**Inventory Management**
- Manage stock both physically and digitally, in the online & corporate wholesale locations
- Drive a weekly cycle count process including variance investigation working with relevant stakeholders
- Working with the planning team support the root cause investigation of DIFOT failures
- Conduct root cause investigations of all dated and damaged stock
- Provide monthly stocktake variance reports
**Safety**
- Ensure that warehouse staff and production team members follow correct manual handling processes whilst performing tasks on the Koko Black site
- Maintain a safe, tidy and organised work environment
- Educate and support the team on the use of all control points, equipment, and other resources
- Ensure anyone in the warehouse, including warehouse operators, other Koko Black staff, external contractors etc use correct PPE and adhere to safety requirements in the warehouse.
- Encourage staff to take responsibility for safety at all times
- Making sure operators following correct procedures when cleaning or changing over machines or equipment
- Report all safety incidents and hazards via the system and to the appropriate manager
- Ensure forklift trucks, company vehicles, racking and other equipment are operated appropriately in line with company policy and safety regulations
**Quality**
- Ensure that Allergens policies and procedures are adhered to.
- Ensure Good Manufacturing Practises (GMP) to achieve optimal product quality.
- Maintain a tidy and organised work environment
- Report any non-conformance incidents to the appropriate manager.
- Report suspected specification and process deviations to the quality manager.
- Support the QA team with embedding food safety culture as required
- Adhere to HACCP standards
**People and Organisation**
- Create and maintain a healthy and motivated work environment within the team.
- Role model adhering to standards and policies
- Communicate training needs to the appropriate manager
**Performance Management and Leadership**
- Support and motivate teams in achieving daily targets and goals.
- Process timesheets and overtime in the time and attendance system
- Appropriately manage overtime as required
- Monitor individual performances, providing ongoing feedback and support
- Seek to resolve any issues and conflict within the team, escalate issues as appropriate
- Train and support new team members and provide feedback on a regular basis
- Actively listen to concerns and potential opportunities raised by team members escalate as required
- Address any non-compliance matters immediately, and where applicable report
