About The Role
We are looking for a highly motivated person to join our dynamic team to take on new daily challenges and really shine through.
Reporting to the VIC State Manager, this role will be responsible for coordinating the daily and weekly scheduling of both internal and external resources to support site attendance, building assessments, make safes, restoration works, and warranty services across all divisions. This role involves the efficient allocation of staff technicians, in-house plumbers, virtual estimators, and subcontracted trades to meet operational requirements.
This role requires working closely with a wide range of stakeholders—including internal teams, external subcontractors, insurance company representatives, assessors, policyholders, and project coordinators—to ensure seamless coordination of job assignments and timely delivery of services. Acting as a central point of contact, this role will require the management of all scheduling aspects related to site visits, assessments, and make safes, while also monitoring resource availability to ensure optimal allocation across projects.
Key Activities Include But Are Not Limited To
Assess incoming job requests to determine the appropriate personnel, considering task requirements, timing, and necessary skillsets.
Allocate internal and external resources effectively to meet the needs of restoration and construction projects.
Schedule jobs promptly, coordinating with both internal teams and external contractors as needed.
Maintain a centralised resource calendar to support real-time visibility of team availability, job assignments, and time off.
Prioritise job scheduling based on project size, key performance indicators (KPIs), and client expectations.
Collaborate closely with project coordinators and claims coordinators, providing administrative support as required.
Oversee the progress of external specialist reports, ensuring delivery within set KPIs and reporting accordingly.
Desired Skills And Experience
Experience workforce scheduling

An understanding of the building repair process, critical inspection points and WHS requirements
Track record of establishing and maintaining long term relationships/accounts
Exceptional organisational and time management skills
Proactive and outcome focused
Ability to act independently and multi-task
High attention to detail with excellent communication
Due to our business being mostly weather related and linked to major insurable events, overtime is occasionally required during these event times to assist in the increased workloads.
