CIRCA

The Clinical Immunogenomics Research Consortium of Australasia (CIRCA) is a Garvan-based initiative that brings together clinicians and scientists from across Australia and New Zealand. CIRCA investigates patients with immune dysfunction of known and unknown cause, though many likely have a genetic basis of disease. CIRCA aims to improve the diagnosis and treatment of patients and understand the mechanisms of disease pathogenesis causing specific immune disorders. The CIRCA Project Management Team is based at and operates out of Garvan and leverages Garvan's IT, governance, legal and administrative infrastructure.

AIGA

CIRCA has formed the Australian ImmunoGenomics Alliance (AIGA), with leading Australian medical research institutions and hospitals to advance shared objectives in the dynamic realm of immunogenomics. This collaborative effort is bolstered by funding awarded by the Federal Medical Research Future Fund (MRFF) Genomic Health Futures Mission

THE OPPORTUNITY

The Project Coordinator plays a critical role in supporting the successful delivery of CIRCA programs by ensuring high standards of quality assurance, operational coordination, data integrity, and team communication. Working closely with the Senior CIRCA Project Coordinator and broader research team, this position supports participant and data workflows, facilitates internal and external communication, and helps maintain smooth day-to-day operations across CIRCA initiatives.

**Salary**: Up to $89,320 (Prorated: $53,592) + 12% super + salary packaging (depending on experience)
- Employment Type: 1-year fixed-term contract

WHAT YOU WILL DO

ESSENTIAL DUTIES and RESPONSIBILITES

Key accountabilities include:
- Quality Assurance:
- Track follow-up actions, decisions, and outcomes to ensure timely implementation and accountability.- Maintain comprehensive records of project activities including meeting minutes both externally and internally.- Prepare and distribute minute reports, CGM agendas and presentations, CIRCA newsletter material, and CIRCA project updates for the CIRCA Board to communicate findings and updates to stakeholders.- Operations Coordination:
- Supervise Program 1 and 2 operations for CIRCA/AIGA cases to support participant recruitment steps and genomic sequencing for research and clinical teams in line with research protocols and quality standards.- Manage logistics related to sample handling, including coordinating pathology requests, transportation arrangements, and consumables procurement. Handle purchasing and invoicing for sample management, including pathology, transport and consumables.- Data Management- Support Senior CIRCA Project Coordinator to document the collection of clinical and experimental data, ensuring accuracy, consistency, and compliance with ethical guidelines.- Team Collaboration and Communication:
- Daily monitoring of internal program management logs to capture current workflows and priorities alongside team.- Interacting with scientific and professional staff to support the drafting and dissemination of complex technical documents and reports.

ABOUT YOU

EXPERIENCE, KNOWLEDGE AND SKILLS REQUIRED

The key skills and experience include:
- 2+ year's experience in coordinating research projects, particularly in medical or clinical settings among multi-stakeholders.- Proficient in the use of Clinical JIRA, clinical data collection platforms such as Redcap and Atlassian programs.- Good time management and ability to prioritise tasks with strong planning and administrative skills- Results-oriented with an adaptable approach- Good communication skills, with the ability to speak to stakeholders with professionalism and clarity.- High level of integrity and professionalism.- Ability to work independently and as part of a multidisciplinary team.- Excellent interpersonal skills wit
