**About the Role**
The Executive Assistant: Principal's Office provides strategic administrative and daily operational support to the Principal, enhancing their ability to lead and manage the school effectively.
This includes managing communications, coordinating schedules and events, facilitating all stakeholder engagement, and supporting school governance and strategic initiatives outlined in the College's Strategic Plan.
This position requires the skills of strategic foresight and initiative, which are essential. The role is critical for ensuring operational efficiency, enabling the Principal to focus on strategic and college-wide priorities that advance the educational outcomes and well-being of the College community. The role is to be managed professionally, efficiently, sensitively, positively, and confidentially. In undertaking the key responsibilities, the Executive Assistant will function at a high level in a dynamic environment and strive to develop and maintain excellent working relationships with members of the school leadership team, teaching staff, the administrative team, and staff generally, leading by example.
The Executive Assistant to the Principal's Office will also manage a range of special projects for the Principal, which may be unique or ongoing and will be allocated at the Principal's discretion.
Key Responsibilities of this position include but are not limited to:
- Providing leadership and administrative support to the Principal.
- Setting up and manage the Principal's diary, scheduling all appointments, meetings, and conferences to ensure mínimal conflicts and allow sufficient time for the Principal to respond to matters arising and other demands.
- Incorporating key events from the school calendar into the Principal's diary, effectively resolving potential clashes and conflicts.
- Receiving and welcoming visitors to the Principal professionally by providing refreshments as required.
- Assisting with preparing and distributing agendas, minutes, correspondence, and papers for the Board meetings, Principal meetings, Staff briefing, or any other meetings required by the Principal's Office.
- Drafting all letters, correspondence, newsletter articles, and weekly updates on behalf of the Principal's Officer for the approval of the Principal.
- Supporting follow-up actions from meetings.
- Liaising with the Principal on work priorities.
- Assisting with preparing agenda and other papers for Executive Leadership Team meetings.
- Handling all initial telephone inquiries to the Principal and redirecting them where appropriate.
**About You**
- At least five years' experience as an Executive Assistant (preferably in a school environment or independent school setting).
- Previous experience working with a College Board (preferable but not essential).
- Ability to demonstrate excellent communication skills.
- Able to empathise with and manage the complex demands of a secondary school environment.
- An efficient administrator who can work well under the pressure of deadlines.
- A person who maintains confidentiality in discussions with staff, students, and parents.
- Able to work with colleagues to create a positive and collaborative working environment.
- Confident in working autonomously and in a team setting to produce quality outcomes, a clear sense of initiative, and personal accountability.
- Exemplary interpersonal skills, including negotiation, influencing, conflict resolution, and active listening.
- High-level written and verbal communication skills, including attention to detail and accuracy.
- Confidence in providing information to students, parents, staff, and the public.
- Confidence in assisting leadership staff and in managing sensitive information.
- The ability to work with high accuracy, efficiency, appropriate time management, and superior attention to detail.
- Sound knowledge with a high level of computer literacy across multiple ICT platforms (experience with Microsoft Suite and Google Suite is required).
- Possess a valid and current Working with Children Check (or be willing to obtain one).
- A commitment to the child safeguarding principles.
