**Primary objective**:
To work under the direction of the Otraco RTO team and provide a high level of administrative support and assist with the coordination of RTO requirements.

OVERALL OBJECTIVES
- To provide a high level of customer service and support for Otraco RTO clients, visitors and suppliers. The ability to work with mínimal supervision, prioritise workload and demonstrate a willingness to lean and continually improve processes to benefit the Otraco RTO team.

ADMINISTRATIVE SUPPORT
- Maintaining student administration records, accurate data, reporting and correspondence, including taking minutes for any training meetings
- Manage OTC accounts payable via Otraco systems (Concur, SAP) and month end reconciliation within specifications and timeframes.
- Responsible for PPE resources ensuring min/max stock levels are always maintained including cleanliness of storeroom
- Assist operations to ensure Trainees Uniforms are correct, help to solve any issues as they arise
- Preparation of course resources, training materials and set up of training rooms
- Manage Travel/accommodation bookings as required for domestic trainees
- Arrange bookings for any external training and ensure details communicated to relevant stakeholders
- Provide support on Reception desk as required - first point of contact for all enquiries, answer and forward incoming telephone calls in a timely and professional manner and conduct all site visitor induction and manage site sign in/out.
- Process timesheets and liaise with People Services including keeping record trainee working hours
- Any other duties that the incumbent is qualified to undertake as requested

RTO TRAINING SUPPORT
- Provide progress of training records and copies of certificates and SOA when requested
- Update RTO tracking data only within "RTO Enrol tracker"
- Ensure RTO requirements, including student registration, results and other records completed in a timely manner
- Contribute to administrative compliance and quality assurance in line with RTO regulations
- To monitor incomplete and outstanding training course assessments/training material and records
- Preparation of enrolment forms and training resources
- Process all training data in student management system
- Securely maintain or archive training and assessment records in accordance with RTO standards
- Enrols students into the Learning Management System
- Conduct desktop Gap assessments for new employees previous experience
- Participate in and record outcomes of validation meetings
- Support Training Coordinator to maintain RTO compliance requirements as required

COMMUNICATION, TEAM AND RELATIONSHIP OBJECTIVES
- Ensure close working relationships are maintained with Otraco, clients and government entities
- Liaise with Mine sites, RTO's and government entities, with a particular focus on the engagement and support of trainees
- Contribute to the achievement of corporate objectives by ensuring that stakeholders are dealt with in a professional and timely manner
