
Patient Care Coordinator

We are a busy, multi-disciplinary Allied Health clinic based in Gladesville (lower north shore, Sydney) and growing rapidly
Brain Hub is a recognised health-care centre for helping people with complex neurological conditions, including post-concussion syndrome, dysautonomia, balance and dizziness conditions, stroke, as well as ADHD, ASD, genetic disorders, cerebral palsy and more. We currently operate 2 clinics (next door to each other) with one dedicated to adults and the other to children.
Remuneration will be commensurate to experience.
**Responsibilities**:
- Report to Practice Manager
- Patient liaison role (welcoming and onboarding new patients)
- Be present in clinic for all new patients
- Provide relief to front desk and reception duties when required
- Coordinate accounts and billing for NDIS
- Handling new patient inquiries
- Set patient expectations re appointments, practitioners, location, cost, etc
- Maintain all new patient documents eg Welcome Letter, T&Cs
- Ensure all new patients set up with correct details, including billing details/ NDIS funds availability, etc
- Send all NDIS Service agreements
- Issue all invoices for Initial and Intensive appointments (deposits/prepayments)
- Ensure all policies/ procedures relevant to role are adhered to
- Assist in any other ad hoc tasks/ queries
**Skills/Experience**:
- Australian citizenship/residency
- Fluent in english (essential)
- A warm, empathetic yet professional approach to performing duties and patient interactions
- Organised and able to multitask: Able to cope with a fast paced, dynamic environment, maintaining organisation of calendar and schedules and follow through on required tasks
- Process driven with a continuous improvement mindset
- Ability to manage, prioiritise and communicate own workload
- Trustworthy and honest
- Has an eye for detail, demonstrating accuracy with tasks yet has an ability to adopt a "big-picture" view
- Is highly accountable, accepts responsibility and take ownership of their role Has a strong desire to be part of a team that excels in performance and patients' expectations
- Excellent written and verbal communication. The ability to engage and interact with patients, including a clear yet empathetic phone manner Work autonomously and independent
- Have a solution-based approach to overcoming obstacles
- Be flexible in the role and duties
- Intermediate Microsoft/ Google suite
- Practice Management software experience (preferred but not essential)
