We are seeking a highly organized and proactive person to fulfil an Executive Assistant function with this new team based in Chatswood. As an Executive Assistant, you will play a crucial role in supporting the Director in various administrative and organizational tasks to ensure the smooth operation of the business. You will be a key contributor to our success, helping to manage critical functions such as taking minutes, business writing, creating presentation materials, and diary management.

**Responsibilities**:

- Executive Support: Provide comprehensive administrative support to the Director, including managing their calendar, scheduling meetings, and handling correspondence.
- Meeting Coordination: Arrange and coordinate meetings, both internal and external, and prepare necessary materials. Take accurate meeting minutes and distribute them in a timely manner.
- Presentation Material: Create and format presentation materials using various software tools to help convey complex information effectively.
- Diary Management: Efficiently manage the Director's schedule, prioritize tasks, and handle appointment conflicts with diplomacy.
- Travel Arrangements: Coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries.
- Office Organization: Ensure the office is organized and well-maintained, including managing office supplies and equipment.
- Confidentiality: Handle sensitive and confidential information with discretion and professionalism.

**Qualifications**:

- Proven experience as an EA/ PA or similar role, preferably in a startup or smaller business.
- Bilingual in Mandarin (ideal however not necessary)
- Exceptional organizational and time management skills.
- Proficiency in business writing, presentation creation, and use of office software (e.g., Microsoft Office, Google Workspace).
- Strong communication skills, both written and verbal.
- Attention to detail and ability to multitask effectively.
- Discretion and ability to handle confidential information.
- Proactive, self-motivated, and able to work independently.
- Flexibility and adaptability to a dynamic work environment.
