The role
Purpose:
Support the Office Manager with day-to-day accounts and administration so jobs flow smoothly, suppliers are paid on time, and clients get a seamless experience.
Type:
Full-time (open to part-time or school-hours for the right person).
Location:
Canberra (on-site), with flexibility by agreement.
What you'll do
Accounts payable:
Enter and code supplier invoices, match to POs/job sheets, resolve discrepancies, and prepare weekly payment runs for approval.
Record supplier bills in the accounting system and ensure correct job and cost-centre coding.
Accounts receivable:
Create and send invoices, receipt payments, prepare monthly statements, and complete gentle, professional follow-ups on overdue accounts.
Monitor aged debtors and escalate issues early with clear notes and recommendations.
Bank and reconciliations:
Post daily bank feed transactions and assist with weekly bank, clearing, and petty cash reconciliations.
Payroll admin support:
Collect timesheets, check approvals, update employee details, and prepare draft pay runs for sign-off.
Job administration:
Maintain digital job files, attach compliance docs/photos, and ensure materials and labour are captured for accurate billing.
Reporting and checklists:
Produce simple weekly snapshots (AP due, AR overdue, unbilled jobs) and keep SOPs/checklists up to date.
Customer service:
Answer phones and emails warmly, provide status updates, and coordinate with field teams to keep clients informed.
What you'll bring
Experience:
1–3 years in accounts/admin (trade services or job-based environments a plus).
Systems:
Comfortable with accounting software (e.g., Xero or Employment Hero and Burdi), Excel, and job management tools (we'll train you on ours).
Xero proficiency:
Demonstrated experience with Xero accounting software is essential for this position.
Quality:
High attention to detail, accurate data entry, and tidy file management.
Communication:
Clear, friendly, and professional—confident following up with both clients and suppliers.
Ownership:
Organised, proactive, and reliable under deadlines; you notice issues early and flag practical solutions.
Team fit:

Work rights:
Australian work rights are acceptable but not strictly required for this position.

Supplier payments and client invoices are prepared on schedule with minimal rework.
