Bristol Myers Squibb Australia is seeking an exceptional Receptionist with a professional attitude and appearance to support our team on-site in a full-time permanent capacity.

**Responsibilities**:
1. Customer Service/Stakeholder Liaison
- Manage Reception desk & general information hub - greet and welcome guests as soon as they arrive at the office, direct visitors, welcoming, directing and announcing them appropriately and in a pleasant manner
- Process, receiving and sorting incoming and outgoing daily mail and couriers
- Onboarding new personnel support and administration
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures), order front office supplies and keep inventory of stock
- Update calendars and schedule meetings
- Undertaking preventative surface cleaning at reception to reduce COVID-19 risks
- Undertake temperature testing and recording this against individuals with their sign in

2. Administration and Support - Operations and Projects
- Update and maintain phone system (CISCO)
- Checking Facilities intranet and EHS intranet for updates required
- Member of the wider admin team
- Some lifting and manual handling required e.g. small parcels etc.

3. Property Condition - Maintenance and Repair
- Receive and forward facilities requests as appropriate to Facilities team or building management and filter as appropriate to the team or building management
- Input data into maintenance spreadsheets

4. Soft Services - Cleaning, Security, Office Consumables
- Liaise with security guards and cleaners
- Maintain security card spreadsheet
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)

5. EHS Support & Administration
- Support with compliance of EHS regulations and BMS EHSS Global policies, directives and procedures.
- Support in the roll out of Environment, Health & Safety initiatives
- Conduct visitor and contractor inductions - Safety Rules for Contractors & visitors alike
- Conduct First Aid and maintain Reception First Aid Kit if necessary and assist in emergencies
- Maintain MSDS Register & check the defibrillator daily and record inspection
- Maintain Defensive Driver Training schedule
- Other Facilities & EHS duties as required

**Qualifications, experience and competencies**:

- Proven work experience as a Receptionist, Front Office Representative or similar role
- Prior experience within an administrative support role in a busy professional environment, providing administrative support in a fast paced professional environment including co-ordination of projects, managing calendars
- Experience in a team environment, working on multiple tasks and managing changing & conflicting priorities
- Experience coordinating contractors, in particular cleaning and security advantageous
- Customer service experience, in particular providing empathy to anxious callers & visitors
- Experienced with data analysis and problem solving
- High school degree; additional certification in Office Management is a plus
- Hands-on experience with office equipment (e.g. printers)
- Customer service, professional attitude and appearance
- Demonstrates exceptional organisational skills in order to complete tasks efficiently, effectively, while adhering to deadlines
- Multitasking and time-management skills, with the ability to prioritize tasks
- Works with mínimal supervision, demonstrating good initiative and follow-up with strong attention to detail
- Demonstrates flexibility, adaptability and open-mindedness to a rapidly changing environment
- Ability to be resourceful and proactive when issues arise
- Handles sensitive materials/issues with discretion to ensure confidentiality is maintained
- Develops positive working relationships across the entire organisation to enhance performance and accomplish work, with energy and enthusiasm
- Demonstrates a professional and competent departmental approach while supporting the business, with strong interpersonal skills in dealing with all levels of staff and suppliers
- Possesses high level of motivation, demonstrates excellent judgement, and strong verbal and written communications skills
