About the Role

Our client is a medium sized surveying company working in the civil and mining construction industry, who is rolling out a new project management and quality control platform alongside a full WHS compliance system.

We're seeking an experienced Business Systems Analyst and Implementation Lead to take ownership of the setup, configuration, and integration of these systems — ensuring they work together seamlessly and are embedded in our operational workflows.

Key Responsibilities

  • Lead the initial project definition and specification and later end‑to‑end setup of the chosen Project Management (PM) system (Coretime or alternative).
  • Configure job tracking, scheduling, resource allocation, and quality control workflows.
  • Fully implement and configure WHSMontior, including:
  • Equipment register with QR/barcode tracking
  • Induction, SWMS, and training record management
  • Automated compliance expiry alerts
  • Integration into mobilisation workflows
  • Build Microsoft 365 integrations to streamline operations:
  • SharePoint project folder templates
  • Teams channel creation per project with pre‑loaded templates
  • Power Automate workflows for notifications and approvals
  • Microsoft Forms/Lists for QC checklists feeding into PM system
  • Integrate PM system with Xero for finance and billing workflows.
  • Migrate relevant historical project and compliance data.
  • Deliver user training, process documentation, and adoption support.

Skills & Experience

  • Proven track record in implementing project management systems in WA construction, engineering, or surveying sectors for small - medium sized businesses.
  • Hands-on WHSMontior configuration experience (or similar WHS compliance software).
  • Strong Microsoft 365 automation and integration skills (SharePoint, Teams, Power Automate).
  • Solid understanding of project workflows, quality control processes and resource planning.
  • Solid commercial
  • Experience integrating PM systems with Xero and compliance platforms.
  • Excellent training, documentation, and change management skills.

Engagement Details

  • Initially 2–3 days/week for an estimated 6–8 weeks to spec out and drive project implementation.
  • Options to develop role into permanent Business Systems Manager position.
  • Mix of on‑site (WA) and remote work.
  • Immediate start preferred.
