About the role

The Senior Administration Officer plays a key role in supporting student clinical placements across the School of Health Sciences, working closely with academic and professional staff to manage placement administration and ensure compliance with accreditation standards. This position also contributes to the continuous improvement of the clinical placement program, enhancing the student experience and supporting the operational efficiency of clinical placements within the University.Key Responsibilities
  • Deliver high-level administrative assistance to the Clinical Education Office, including meeting coordination, minute taking, documentation preparation, stakeholder communication, and report generation.
  • Support clinical placements for Health Sciences students and maintain accurate placement records.
  • Support and manage internal databases, registers, and documentation to ensure compliance with university policies and accreditation requirements.
  • Liaise with students, academic staff, and external partners to provide guidance, respond to enquiries, and maintain strong collaborative relationships.
  • Assist in the review and development of policies, procedures, and forms related to clinical education, contributing to continuous improvement initiatives.
  • Organise and support events such as orientations and training sessions, ensuring smooth execution and effective communication with all participants.
Qualifications, skills & experience
  • Degree or Advanced Diploma with at least 1 year of relevant experience, or Diploma with a minimum of 2 years of administrative experience, or Certificate IV with extensive experience in administration or clinical settings, preferably in higher education; or an equivalent combination of relevant education, training, and/or experience.
  • Demonstrated administrative experience with strong organisational skills and proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams), with the ability to learn internal systems such as SONIA, CELCAT, timetabling, and video-conferencing tools.
  • Excellent written and verbal communication skills, with the ability to build effective relationships and engage a diverse range of stakeholders.
  • Proven ability to manage competing priorities and deadlines while maintaining accuracy and attention to detail in a dynamic environment.
  • Capable of working independently and collaboratively, showing initiative, problem-solving ability, and a service-oriented approach.
  • Awareness of how policies, procedures, and data contribute to strategic goals, with sensitivity to handling confidential information.
