Electorate Officer - EOB

The office of Senator Payman is seeking applications for a full-time ongoing electorate officer, based in Senator Payman's Electorate Office in Perth, WA.

Reporting to the Chief of Staff, this role ensures smooth day-to-day operations, manages administrative processes, coordinates internal and external communications, and provides logistical and organisational support to the Senator and office team. The position requires excellent organisational skills, strong attention to detail, flexibility and the ability to manage competing priorities in a fast-paced environment.

The key duties of the position are, but are not limited to:

· Administration: Oversee the daily operations of the office, including acting as the primary contact for incoming queries from stakeholders and constituents, via mail, email, and over-the-phone.

· Office coordination: Maintain effective office systems and processes as well as manage office supplies, invoice payments and bookkeeping and liaise with Commonwealth Parliamentary Office and take manage office maintenance.

· Constituent correspondence: Triage constituent enquiries and draft responses as appropriate.

· Event management: Plan and manage events and manage invitations, support occasional offsite events which sometimes fall outside of regular office hours, including on weekends.

· Diary & logistics management: Manage the Senator's diary, including scheduling appointments, travel arrangements, and other logistical needs.

· Meeting support: Organise and attend onsite meetings and take minutes.

· Training & development: Participate in training opportunities to enhance skills and knowledge.

· Social media: Contribute to the Senator's social media under the guidance of the media and communications adviser and the chief of staff.

The ideal applicant should possess the following skills, qualifications, and experience:

· Customer service focus: a pleasant, positive, and respectful demeanour when engaging with office staff and constituents.

· Communication: strong verbal and written communication skills with meticulous attention to detail.

· Organisation & time management: outstanding organisational skills with the ability to prioritise and manage multiple and competing work tasks to meet deadlines.

· IT Competence: Excellent computer skills, including experience working with Microsoft 365 and Excel. Experience in using a Customer Relationship Management System (CRM) is highly regarded.

· Government & parliamentary knowledge: A keen interest in and understanding of Australia's system of government and parliamentary processes.

· Professionalism: High levels of professionalism, confidentiality, and discretion while operating under limited supervision in a team environment.

· Relevant experience: Experience in a similar administrative role in a political environment would be preferred but not required.

· Social media and other communications: A basic understanding of social media algorithms and ability to write a compelling messages and creative content, or a willingness to learn is desirable.

Employment conditions:

The position is offered under the Members of Parliament (Staff) Act 1984 and conditions are outlined in the Commonwealth Members of Parliament Staff Enterprise Agreement which include:

  • A commencing salary between $76,910 and $89,793 will be negotiated depending on experience and relevant skills.
  • An additional optional allowance of up to $9,289 may be considered in recognition of, and as compensation for, reasonable additional hours of work and travel requirements.
  • Relocation assistance, studies assistance and paid study leave may also be available (subject to eligibility requirements).
  • An employer superannuation contribution of 15.4% will be payable

· The successful applicant may be required to undergo a National Police History Check.

· Staff may be subject to automatic cessation triggers in accordance with Section 14 of the MOP(S) Act. ·

· The successful applicant will be required to comply with their obligations under the Behaviour Codes and Standards.
