Practice Manager – Lead Operations at National Telehealth Mental Health Platform
2 days ago
Join a purpose-led mental health startup transforming how Australians access care.
At Wellvue, psychiatrists and psychologists deliver care through one of Australia's most trusted telehealth mental health platforms.
We're now seeking an exceptional Practice Manager to help drive our next stage of growth, someone who can combine clinical operations management with genuine compassion.
Wellvue is a growing, Queanbeyan-based telehealth service providing psychiatrist and psychologist-led care across Australia. We value professionalism, empathy and teamwork, supporting clinicians so they can focus on delivering exceptional patient care.
About the RoleWe're looking for an experienced, dynamic Practice Manager to lead our administrative and operational functions. You'll oversee a capable, friendly team, manage clinicians' schedules and compliance, and strengthen the systems that keep our growing service running smoothly.
You'll be the key operational leader at Wellvue, empowered to manage daily operations with autonomy and work closely with the Director (who is part-time in business operations) on strategic initiatives.
This role requires calm problem-solving, independent decision-making and resilience in a fast-moving clinical environment. You'll need to manage competing priorities with confidence and maintain professionalism when under pressure.
This is a high-responsibility role at the heart of a fast-growing startup. It's suited to someone who thrives in dynamic, evolving environments and can lead while building structure from the ground up.
This position suits someone who thrives on structure, clear communication and leading with calm confidence, and who understands the unique demands of mental health care.
What You'll Do- Oversee and optimise the entire operational engine of our practice; from systems to people — ensuring seamless, scalable delivery of clinical care.
- Lead all day-to-day practice operations and administrative workflows.
- Manage and oversee clinician onboarding, scheduling, invoicing, and support across psychiatry and psychology.
- Oversee Medicare and financial compliance processes.
- Support continuous improvement of systems and processes (Halaxy, Coviu, and Google Workspace).
- Mentor administrative staff and foster a supportive, professional culture.
- Work closely with the Director on growth and service quality initiatives.
- 5+ years' experience in a senior medical administration or practice management role.
- Strong background in mental health or medical health services.
- Proven skill with Google Workspace (Gmail, Drive, Calendar, Docs, Sheets, etc.)
- Excellent communication, leadership, and organisational skills.
- High attention to detail and professionalism under pressure.
- Sound understanding of Medicare, billing, and privacy compliance.
- Proven ability to stay composed and organised during periods of high demand or rapid change.
- A proactive approach — you identify issues early and take ownership in resolving them.
- A compassionate, patient and clinician-centred mindset.
- Competitive salary ($110,000–$120,000 + super) — negotiable for exceptional experience.
- All equipment provided.
- Beautiful heritage office in Queanbeyan.
- A purpose-led, evolving team focused on building structure and excellence as we grow.
- No weekend work or late-night hours.
- Potential to grow into a Head of Operations or General Manager role as the company expands.
If you're an experienced leader ready to help shape the future of telehealth mental health care, we'd love to hear from you. For any questions regarding the role please contact
Please note: This is a full-time, in-office role based at our Queanbeyan office.
