- Key Responsibilities:
Office Administration and Facilities Management
- Provide high-level administrative support to the CEO, including meeting coordination, calendar management, preparation of materials, reports and operational recommendations
- Lead the development, implementation and ongoing management of document management systems to ensure org-wide compliance.
- Responsible for internal and external stakeholder communications.
- Facilitation of internal communication.
- Coach and mentor staff to support governance compliance, adoption of AI tools and resolution of administrative challenges.
- Provides assistance in travel bookings and approvals and ensures adherence to Policies and WH&S compliance and procedures are followed
Support Services Support
- Responsible for HR management strategies including recruitment, policy/practices, pay and conditions, contracts, training and development.
- Manage, monitor and report on operational and strategic HR issues and opportunities.
- Management of business IT needs and services including phone systems.
- Responsible for ensuring the smooth running of staff payroll and payroll processes are accurate and up to date.
Risk Management
- Ensure compliance with all relevant legislation including insurances.
- In collaboration with the CEO, ensure all activity complies with organisational risk management and legislative requirements for quality management, health and safety, environmental policies and general duty of care.
- Responsible for the effective and timely assessment of risks to health and safety and implementation of strategies identified to mitigate these risks.
Financial Administration
- Management of Philanthropic Fund.
- Management of budget planning processes and financial administration, including income, projections, expenditure, invoices, acquittals and reports in line with funding agreements.
- Establish and maintain compliant financial recordkeeping framework aligned with audit requirements.
- Provide monthly financial reports to CEO and prepare relevant documentation for the Board.
- Assistance in the preparation of accounts for funding applications and project acquittals.
Board Secretariat
- Coordination of Board meetings, including scheduling, logistics, agendas and minute taking.
- Assist with the preparation of presentations and strategic /operational reports for Board meetings and other key events.
Event Coordination
- Support planning for events, workshops, and community outreach activities.
- Manage event logistics, including venue selection, catering and participant registration.
Other
- Contribute to short and long-term organisational planning and strategy.
- Drive organisational initiatives that contribute to long-term operational excellence.
Support the CEO in reviewing organisational performance.
Qualifications/Experience:·
Relevant tertiary qualification and/or demonstrated experience in complex administrative environments, ideally in a non-profit operational role.
- Strong analytical and problem-solving skills, with the ability to assess information and provide practical recommendations to senior leadership and the Board.
- Proven ability to build and maintain effective relationships with internal and external stakeholders.
- Experience in budget management and financial reporting, with proficiency in Excel and Xero.
- Excellent organisational skills, with the ability to manage competing priorities and coordinate cross-team project activities to meet deadlines.
- Outstanding written and verbal communication skills.
Advanced computer proficiency, including using the MS Office suite and project management tools.
