Our Sydney Studio has seen remarkable growth in recent years and continues to go from strength to strength, delivering key projects across metropolitan Sydney and beyond. As a collective of enthusiastic and talented architects, designers and interior designers we are delivering some of Australia's most significant and landmark projects for a range of high-profile clientele. Our work includes collaborations with internationally acclaimed architects and design houses.
We are currently looking for a warm and energetic individual to join us as an Operations Manager. As an essential member of our team, you will be responsible for fostering a positive office environment and providing exceptional support to a group of creative professionals. The ideal candidate will have a versatile skillset, with the ability to work independently and possess outstanding organisational abilities, along with a strong eye for detail.
Position objectives:
- Provide high-level, proactive and efficient administrative support to four busy Directors on a day-to-day basis to increase their productivity: exercising discretion, judgement, initiative, and confidentiality to support their achievement of the organisation's objectives.
- Perform a range of executive support tasks such as meeting coordination, event management and reporting.
- Establish and maintain constructive working relationships with key internal and external stakeholders relevant to this position including active participation, collaboration, cooperation and meeting attendance across the organisation.
- Human Resourcing – recruitment, onboarding of new staff, day-to-day management.
- People & Culture – foster a positive work environment, develop ESG action plans and committees and facilitate engagement.
- Financial – monthly invoicing, monitoring budgets, maintaining financial forecasting and assisting in chasing aged receivables.
The ideal candidate will have:
- Exceptional written and oral communication skills, and a professional manner.
- Proven ability to maintain confidentiality, exercise discretion, and use tact in all situations.
- Highly developed time management and organizational skills, with the ability to effectively prioritize tasks.
- Demonstrated capacity to work independently and take initiative, as well as develop and implement improved processes and procedures.
- Ability to handle day-to-day tasks with flexibility and adaptability.
- Proven ability to work well under pressure, manage competing demands, and effectively manage workloads.
- Skilled in exercising sound judgement, taking ownership of responsibilities, and communicating effectively with stakeholders.
- Experience in cultivating strong professional relationships, building networks, and promoting a collaborative and high-performance culture.
Desirable but not essential:
- Previous experience in a similar Office Management /Personal Assistant / Administrative Support roles.
- Experience in Human Resources, People & Culture and ESG highly desirable.
- Experience in Marketing and Bids Coordination, with some graphic design experience highly desirable
- Competency in using Microsoft Office Suite, Microsoft Outlook, Adobe Acrobat, and some competency in Photoshop and InDesign preferable but not essential
Qualifications:
- Post-secondary qualification or equivalent and a combination of relevant experience and training.
