Involve Health Hub is an allied health clinic based in Aspley providing individual and group therapy to children, adolescents, adults and families, plus psychoeducational and neurodiversity-affirming Autism/ADHD assessments. While we are a busy clinic, we focus on our warm, supportive and friendly culture for both our team and clients.

The role

Join our client support team in a casual role with consistent hours hours per week) and opportunities for additional hours when teammates are on leave. You'll be the first point of contact for clients and a key part of keeping our 8-room clinic running smoothly. This is not a typical administrative role; it involves the nuance of supporting a mental health service requiring high emotional and social intelligence to care for our clients

What you'll do

  • Be the first friendly face at reception: welcome clients and manage check-ins
  • Manage client communication (e.g., bookings, enquiries) via phone, email, and text message
  • Process invoices, payments, receipts and rebates (Medicare, NDIS, Workcover, etc)
  • Support practitioners by managing forms, referrals, and diary management in the client management system (Halaxy)
  • Keep client files up to date
  • Record client communication and practitioner instructions accurately
  • Ensure clear handovers between admin shifts
  • Keep clinic spaces tidy, inviting and well stocked
  • Troubleshoot the basics (invoicing, CMS, scanners/printers) and escalate as needed
  • Uphold privacy, confidentiality and professional boundaries at all times

What you'll bring

  • Administration experience (health or customer-facing setting highly regarded)
  • Calm, professional presentation and excellent communication (in person, phone, and written)
  • Strong attention to detail, reliable follow-through and effective multitasking
  • High IT literacy and confidence learning new systems
  • Self-aware, open to feedback, and comfortable working independently while knowing when to seek support
  • Inclusive, respectful, responsive, and non-judgmental approach
  • Flexibility to occasionally cover teammates' shifts (illness, study or personal commitments)

Hours and flexibility

  • 20-25 hours per week, rostered Mon-Fri within opening span (earliest start 7:30am; latest finish 7:15pm)
  • We'll collaborate on a roster that suits you and the clinic; ideally you can do at least one early start or late finish most weeks.
