About this opportunity

This position contributes to the efficient operation of records processes within Council and assists with compliance of the Public Records Act 2023 requirement to ensure that 'public records are made, kept, managed and preserved in useable form for the benefit of present and future generations'.

Additionally, you'll also

  • Process all Council hard copy and electronic correspondence including scanning and registering correspondence into Councils records management system and classifying mail to appropriate system files and responsible officer(s) with State Government retention timeframes.
  • Conduct searches, document movements, customer requests and image quality assurance checks ensuring high quality and standards are maintained while maintaining a high degree of confidentiality.
  • Ensure complete and accurate records are captured, created and maintained within the appropriate recordkeeping system in accordance with Council policies, procedures and relevant legislative updates.
  • Provide advice and information to stakeholders on records management, allocated tasks, resolution of Helpdesk enquiries and reporting requirements within agreed timeframes in accordance with relevant legislation.
  • Deliver and promote training for Council staff on the use of the Electronic Document Management System and hardcopy recordkeeping practices, review and maintain training material relevant to records management.

About you

  • Demonstrated ability to apply a high degree of judgement, initiative, confidentiality and sensitivity in the performance of work.
  • Ability to effectively and efficiently manage time and prioritise to ensure processing of numerous requests and escalation of matters to a superior officer when required.
  • Ability to participate as part of a team to increase efficiency and improve work practices and procedures and contribute to a positive working environment.
  • Capacity for manual handling of archive boxes weighing approximately 10kg.
  • Tertiary qualifications in Records Management or a related field will be well regarded.
