About The Role
National Intermodal is seeking a Project Coordinator for a full-time, permanent position based in our Sydney CBD office. Reporting to the General Manager, New Terminals, you will provide high-quality administrative, coordination, and reporting support to ensure the successful delivery of strategic projects. Collaborating with project teams, stakeholders, and leadership, you will play a key role in maintaining smooth operations, compliance, and timely achievement of project milestones.
What You'll Be Doing
- Monitoring and updating project schedules and task progress using project management tools, tracking team performance, and ensuring alignment with timelines and deliverables.
- Preparing, formatting, and managing project documentation including contracts, reports, and meeting notes, supporting stakeholder communications, assisting in preparing presentations and updates, and maintaining organized document repositories.
- Tracking project expenditures to align with approved budgets and monitoring resource usage to promote efficiency and reduce waste.
- Liaising with contractors and vendors for timely delivery of goods and services, managing supplier invoices, and assisting in contract negotiations when terms change.
- Scheduling and organising project meetings, preparing agendas and materials, recording and distributing minutes, and following up on action items.
- Ensuring project activities adhere to internal policies and standards and supporting quality checks to confirm deliverables meet client and stakeholder expectations.
- Assisting in PMO reporting cycles, including data collection, formatting, and submission, and contributing to cost and schedule control processes by tracking variations and reporting deviations.
About You
- Excellent organisational and time management skills.
- Proficiency in project management software (e.g., MS Project, Primavera or equivalent) for task tracking and scheduling.
- Keen attention to detail and a strong commitment to quality in all tasks.
- Ability to work collaboratively, adapt to changing priorities, and support team dynamics effectively.
- Basic financial literacy and understanding of budgeting principles, with the ability to monitor budgets, track expenses, and support cost control processes.
- Strong skills in preparing, formatting, and managing documents, reports, and presentations.
- Highly proficient in MS Word, Excel, PowerPoint and document management systems.
- Proven experience leveraging project management tools to ensure efficient project delivery and coordination.
- Qualification in Business Administration, Project Management, Engineering, or a related field (desired).
