Our Company The Australian Ballet is one of the world's leading ballet companies and a globally recognised Australian national performing arts organisation.
Each year the company presents upwards of 220 performances through its main stage seasons in Melbourne, Sydney, Brisbane, Adelaide and Perth; along with public programs, special events, an extensive regional tour, a Children's Ballet and Education programs and regular overseas tours.
Role Highlights: Provide high-level executive support to the Director, ensuring smooth coordination, communication and workflow Drive effective planning, scheduling and delivery of departmental projects, events and key organisational initiatives Maintain strong operational systems, processes and documentation that enhance efficiency and cross-team collaboration What you'll be doing: Manage the Director's schedule, communications and meeting preparation, ensuring priorities are clear and well-supported.
Prepare agendas, minutes, correspondence and reporting materials, including Board papers and departmental documentation.
Coordinate departmental planning, budgets, timelines and project milestones, helping keep delivery on track Support major initiatives and events such as international tours, Ballet Under the Stars and DanceX.
Maintain accurate scheduling and workflow information across systems (including Monday.com and internal tools) and support process improvement.
Collaborate with Executive Assistants and internal teams to support cross-departmental operations and company-wide activities.
What experience you'll need: Strong organisational, administrative and communication skills with high attention to detail.
Experience supporting executives, managing schedules and coordinating documentation and meeting processes.
Digital proficiency across Word, Excel, intranet platforms and workflow/scheduling tools (e.g., Monday.com; ability to learn systems like DIESE).
Experience with contract or agreement administration and understanding of live performance or theatre operations (advantageous).
Ability to use initiative, solve problems and contribute to continuous improvement within established processes.
Collaborative, team-focused mindset with the ability to work effectively across departments and during peak activity periods.
