Key Responsibilities
Patient Care & Administration
• Serve as the first point of contact for patients, providing exceptional customer service with warmth and professionalism
• Manage patient information efficiently using different software's
• Process new patient referrals and maintain accurate patient records
• Handle patient enquiries via phone, email with discretion and empathy
• Coordinate referrals from clinics and other areas of health such as general practice
Clinical Support
• Manage correspondence with referring doctors and other healthcare providers
• Process and track pathology results and imaging reports
• Maintain patient confidentiality in accordance with privacy legislation
Financial & Administrative Duties
• Process patient billing, payments, and respond to account enquiries
• Manage appointment scheduling
• Maintain filing systems and ensure all documentation is current
• Assist with practice reporting and administrative tasks as required
Essential Requirements
Experience & Qualifications
• Minimum 5+ years experience as a medical receptionist in a healthcare setting
• Previous experience in a specialist practice highly regarded (cardiology experience preferred)
• Experience with medical practice management software
• Strong understanding of Medicare billing and private health insurance processes
• Knowledge of medical terminology, particularly cardiology-related terms
Technical Skills
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
• Familiarity with appointment scheduling systems and patient management software
• Competent in utilising multi-line phone systems and demonstrates professional phone etiquette
• Basic typing skills (minimum 40 WPM) with high accuracy

Highly Desirable
• Certificate III or IV in Medical Administration or equivalent
• Experience with cardiac procedures and terminology
• Previous experience in a private specialist practice
