In the past year, Smile Society has grown from 2 chairs to 4 chairs , a team of 7 to a team of 13 — and with our patient community expanding, we're seeking a Front Office Coordinator to be the welcoming face of our clinic.

This is our final recruitment intake for 2025. The next chance to join won't be until Feb/March 2026.

At Smile Society, our Front Office Coordinators aren't just administrators — they also step into Treatment Coordinator responsibilities, guiding patients through their treatment journey and making a genuine impact on their health and confidence.


What You'll Do
  • Welcome patients with warmth, professionalism, and empathy
  • Manage appointment schedules to keep the clinic running smoothly
  • Guide patients through treatment plans & finance options
  • Handle payments and keep accurate patient/financial records
  • Support clinical staff with referrals, lab work, and admin tasks
  • Play a key role in shaping patient experience from consult to completion

About You
  • Experience in dental or healthcare front office (1+ years preferred)
  • Understanding of basic dental procedures and terminology preferred
  • Proficient in Microsoft Office Suites (particularly Outlook, Excel and Word)
  • Experience processing EFTPOS, HICAPS, Medicare payments, Humm, Denticare and other Payment Plan options
  • Strong organisational & multitasking skills
  • Clear, patient-centred communication style and phone skills
  • Professional, reliable, and detail-oriented
  • Excited to grow into a Treatment Coordinator pathway
  • A team player who thrives in a busy, evolving clinic
