Position Overview:
We are seeking a motivated Project Administrator to provide essential administrative and operational support to our project teams. This role is key to ensuring smooth daily operations, effective communication and accurate record-keeping across all stakeholders. Your responsibilities will include reception duties, office management, document preparation, compliance monitoring, onboarding and basic financial administration. Working closely with Project Managers, you will support project delivery, maintain accurate registers and project documentation.
Key Responsibilities:
• Deliver administrative support to the project team to ensure seamless daily operations
• Provide reception services, including greeting visitors and managing incoming calls and enquiries
• Organise and manage office consumables, stationery and equipment
• Maintain accurate staff registers, inductions, licences and compliance documentation
• Assist with document preparation, data entry, timesheets, travel bookings and general administrative duties
• Support basic finance activities such as invoicing, purchase orders, expense tracking and timesheet processing
• Collaborate with Project Managers to understand priorities and communicate key information to internal and external stakeholders
• Ensure all new starters complete required inductions, compliance checks and site access requirements prior to mobilisation
• Update and maintain site registers and project documentation
Qualifications / Skills:
• Minimum 2 years' experience in a Project Administration, Office Administration or similar role within a welding, engineering, marine or industrial environment
• Proficient in Microsoft Office and basic MYOB knowledge is essential
• Strong communication, organisational and interpersonal skills, with exceptional attention to detail
• Solid general IT skills and the ability to learn new systems quickly
• Experience working effectively with diverse and multicultural teams
• Positive attitude, strong work ethic and the ability to manage competing priorities in a fast-paced environment
• Valid Australian Driver's Licence
• Current Construction White Card
• Ability to obtain a National Police Clearance and meet Defence Access requirements
