Role Overview
Uniting WA are seeking an experienced Executive Support Officer to provide high quality support to our Co-CEOs who have distinct leadership styles and priorities, with additional support to the wider Executive team as required.
Our Co-CEOs are highly self-sufficient, and this role is not a traditional Executive Support style position. Instead, it focuses on independent administration, email and diary coordination and executive level support tasks.Key Responsibilities
- Board meeting support: Prepare and distribute meeting agendas, take and circulate accurate minutes, support Board meetings, publish Board papers via Diligent, and assist with operational reporting requirements as required.
- Administrative support: Provide timely, effective and efficient administrative support to the Co-CEOs including diary and record management, meeting coordination, room bookings and arranging catering as required.
- Email monitoring: Monitoring the EA inbox and responding or delegating emails as required.
- Travel Coordination: Make relevant travel and accommodation arrangements for the Co-CEOs. Manage the travel portal for Uniting and liaise with FCM, including coordinating, booking and managing travel arrangements and providing detailed travel itineraries to travellers.
- Financial reconciliation: Complete expense claim reconciliations for the Co-CEOs using the organisation's expense claims and reconciliation tools.
- Executive team assistance: Providing assistance to the wider executive team and acting as a central point of contact for internal and external stakeholders.
About You:
You're a proactive powerhouse - organised, flexible and thrive on working solo to back leaders with their own unique approach. Always ahead of the curve, you've got the knack for anticipating what's needed before it's asked and handle sensitive matters with absolute discretion. Prioritising comes naturally, and you're a self-starter who's at ease forging your own path outside the usual team setup.
You will bring:
- Previous experience within a social services context in particular through a Not for Profit, would be an advantage (3+ years) experience in a similar role.
- Relevant tertiary qualifications and the commitment to professional development and ongoing learning.
- Demonstrated experience working with multiple executives simultaneously.
- Comfortability working with self-sufficient CEO's and Executives
- The ability to work autonomously without close supervision.
- Excellent computer literacy skills, in particular MS Office, Word, Excel, Outlook and PowerPoint
- Unrestricted Australian working rights
- Australian National police clearance within 6 months or willingness to obtain
- Current drivers licence.
- Ability to manage confidential information with discretion.
- Ability to use initiative and be a self-starter
- Ability to undertake research and utilise analytical and critical thinking skills
