The Talk Shop is a leading psychology practice providing high-quality, client-centred care across Melbourne and online. With over 50 active clinicians and a dedicated admin team, we're known for our commitment to accessibility, professionalism, and genuine human connection.

We're now seeking an experienced 
Practice Manager
 to oversee our day-to-day operations and support our next phase of growth. This is an exciting opportunity to bring structure, leadership, and operational excellence to a fast-paced, mutli-site, purpose-driven practice.

The Role

The Practice Manager is responsible for ensuring smooth, compliant, and efficient practice operations across all sites. You'll lead the administration, HR, and operational systems that support clinicians and clients - creating the conditions for excellent care and a great workplace experience.

This role will suit someone who thrives in a busy environment ( roughly 500 appointments per week), enjoys improving systems and workflows, and can confidently lead people with empathy and accountability. Experience and a knowledge of best practice within other practices is essential for someone taking on this role.

Key Responsibilities

  • Lead daily operations, ensuring smooth and efficient service delivery across all practice sites and online through Telehealth.
  • Manage and support the clinical administration team and Operations functions.
  • Oversee HR processes, including recruitment, onboarding, rostering, and compliance documentation.
  • Drive consistency and quality across client and clinician experiences.
  • Monitor workflows, reporting, and efficiency metrics using tools like 
    Coreplus

    EspoCRM
    , and 
    Zammad
    .
  • Provide regular operational updates and reports to the Commercial & Finance Director and the CEO.
  • Foster a culture of collaboration across the team, bring professionalism, and care.

What You'll Bring

  • Proven experience managing operations in a busy healthcare or allied health environment.
  • 3-4 years of operations management experience in healthcare or allied health settings.
  • Strong people leadership and confident communication skills.
  • Experience managing teams of 10-20 staff members with demonstrated leadership capabilities.
  • Working knowledge of HR, compliance, and workplace relations in this sector.
  • High attention to detail and the ability to streamline processes and systems.
  • Tech confidence with practice management, CRM, or ticketing systems.
  • A calm, solutions-focused approach under pressure - and a genuine interest in supporting a team that helps others.
