Position: Cosmetic Clinic Receptionist

Location:Cleveland

Reports to: Clinic owner

Role Overview

As the first point of contact for our clients, the Cosmetic Clinic Receptionist plays a vital role in ensuring a smooth and welcoming experience at our cosmetic clinic. You will manage appointments, take high-quality client photos, maintain cleanliness in the clinic, and handle client recalls. This role requires excellent communication skills, attention to detail, and a warm, professional demeanor.

Key Responsibilities

Client Interaction and Administration

  • Greet clients warmly and professionally, ensuring a positive first impression.
  • Schedule and confirm appointments efficiently, minimizing errors.
  • Maintain accurate client records and ensure confidentiality.

Client Photos

  • Take high-quality, standardized before-and-after photos for treatments.
  • Ensure proper lighting, angles, and consistency in photos following clinic guidelines.
  • Upload and organize photos securely in the clinic's system.

Clinic Maintenance

  • Keep the reception area, treatment rooms, and kitchen clean and tidy throughout the day.
  • Prepare treatment rooms for the next client, including sanitizing surfaces and restocking supplies.
  • Ensure the kitchen area is clean, organized, and stocked with refreshments for clients.

Client Recalls and Follow-Ups

  • Perform follow-up calls and recalls to ensure client satisfaction and address any post-treatment concerns.
  • Rebook clients for future treatments or consultations as required.
  • Answer inquiries promptly and redirect to the appropriate team member if needed.
  • Social Media and Email Management
  • Monitor and respond promptly to social media messages and comments, maintaining the clinic's professional tone of voice.
  • Handle client inquiries through email with clarity, accuracy, and professionalism.
  • Redirect complex or urgent matters to the appropriate team member when necessary.
  • Assist in scheduling social media posts, if required, to support the marketing team.

Requirements:

  • Minimum of 2 years of administrative experience.
  • Excellent communication and interpersonal skills.
  • Strong organizational abilities and attention to detail.
  • Proficiency in computer applications and basic office software.
  • Prior experience in a medical or cosmetic clinic is a plus.
