The Opportunity:

As a Receptionist/Administration team member, you will be the welcoming face of our Brisbane branch, coordinating day-to-day reception activities and providing essential administrative support to both the Service and Sales departments.

This role is key to ensuring smooth communication, efficient operations, and excellent customer service within a dynamic and supportive environment.

What you will do:

  • Answer incoming customer calls promptly, providing helpful information and directing calls only when necessary.
  • Greet and assist all visitors, customers, and subcontractors, ensuring site sign-in procedures and inductions are completed.
  • Manage deliveries and transport company arrivals, verifying paperwork and compliance with site requirements.
  • Process and approve branch supplier invoices, ensuring accurate stamping and timely forwarding to Head Office.
  • Scan and file supplier invoices, transport dockets, delivery paperwork, and general reception documents.
  • Coordinate outgoing freight bookings and handle internal and external mail efficiently.
  • Maintain branch stationery, kitchen, and restroom supplies to ensure availability.
  • Order and manage replacement print cartridges and maintain office printers.
  • Provide administrative support to the Service and Sales & Hire departments as needed.
  • Handle general telephone enquiries and assist with reception duties to support smooth branch operations.
  • Assist with any additional tasks assigned by the QLD Operations Supervisor.

  • Experience in a receptionist, administration, or customer service role.
  • Excellent phone manner and strong interpersonal skills to engage with customers and team members.
  • Exceptional organisational skills with the ability to manage multiple tasks efficiently.
  • A proactive, flexible team player who can work independently and adapt to changing priorities.
  • Strong attention to detail and accuracy in handling administrative tasks.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable using computer systems.
  • Previous experience supporting service or sales teams is highly desirable.
  • A positive attitude, reliability, and a commitment to upholding company values and workplace safety.
