RoleThe school first aid officer / administrative assistant provides basic first aid to students and staff, manages health records and action plans, maintains first aid supplies and facilities, coordinates staff first-aid training, and handles various administrative tasks like attendance, data entry, and communication with parents. The position will predominately operate from the main reception building, however, may require movement in / around the school grounds.
In addition, the first aid officer / administrative assistant fulfils an important customer service function by being one of the first points of contact that the school community may have with the school. It is expected that they will provide a high level of customer service and be competent in the provision of up to date and relevant information operating in a consistent, professional, courteous and efficient manner at all times. This role ensures a safe and well-supported school environment by integrating health services with essential daily operations.
ResponsibilitiesFirst Aid
¿ Provide immediate basic first-aid: Respond to injuries and illnesses and manage the sick bay.
¿ Manage student health data: Maintain and update student health records, medical action plans (e.g., for asthma, allergies, diabetes), and registers of students with serious conditions.
¿ Administer medication: Dispense and record medication according to instructions from parents or health professionals.
¿ Liaise with parents and emergency services: Contact guardians to pick up sick or injured students and coordinate with emergency services and the school office during incidents.
¿ Maintain supplies and facilities: Keep the sick bay and first aid kits clean, stocked, and well-maintained.
¿ Coordinate in conjunction with the HR Manager, the timely implementation of annual school-wide First Aid Training including the preparation and communication of training materials and ensuring accurate attendance and completion records are maintained.
¿ Act as the First Aid Warden during emergency situations and training drills.
¿ Ensure compliance: Adhere to Department of Education policies and guidelines and assist with audits and updates to meet OH&S requirements.
¿ Support school events: Help prepare first aid kits and provide health support for excursions, camps, and other off-campus activities.
¿ Data entry and record-keeping: Accurately record treatment notes in school systems (eduSafe Plus and Compass) and maintain accident registers.
¿ Coordinate the Immunisation Program (in consultation with the Shire of Yarra Ranges) for students in years 7 and 10 and the staff flu vaccination program.
Administration
¿ General office duties: Assist with reception, answer phones, and handle general administrative tasks.
¿ General support duties: as instructed by the HR Manager. It will require some knowledge and application of specific procedures, instructions, regulations and other requirements relating to general administration and/or specific school programs or activities.
¿ Sort incoming mail for distribution and preparing mail for external postage.
¿ General photocopying.
¿ Maintain general tidiness of both office spaces and kitchenette.
¿ Maintain the student activity locator (SAL) to record activities and excursions that happen outside school hours or school grounds.

Other InformationThe successful applicant must have completed a recognised first aid training course that meets the requirements of HLTAID011 ¿ Provide First Aid and HLTAID009 ¿ Provide cardiopulmonary resuscitation. Basic First Aid training (HLTAID011) must be completed every 3 years, while a refresher course in CPR (HLTAID009) must be completed annually.
Additionally, the applicant must have completed an anaphylaxis management training course (either online in the last 2 years or face-to-face in the last 3 years) and will also be required to show that they are able to appropriately and competently use an adrenaline auto-injector. The successful applicant must also hold an anaphylaxis supervisor certification.
Proficiency in eduSafe Plus, Compass, Cases21, and Outlook is essential.
This is a full-time role with the hours of 8:15 am - 4:15 pm Monday to Friday.
