Your Tasks

Ensure the efficient day-to-day operation of the office site through the Integrated Facilities Management (IFM) operator, while providing administrative and project support to the HR team and broader business.


Reception & Front of House

  • Welcome employees and visitors, ensuring professional service and site safety protocols
  • Manage incoming calls, enquiries, deliveries and courier services
  • Maintain a polished reception area, meeting rooms and shared spaces aligned to company standards
  • Support Business Continuity and Emergency procedures, including drills and communication

Facilities Management

  • Act as primary contact for Facilities Management provider and coordinate contractor activity
  • Raise and track building maintenance requests, quotes, approvals and purchase orders
  • Manage car-park access, master keys and support WHS and emergency preparedness requirements
  • Communicate facilities updates to employees (maintenance works, access changes, outages)

Office Support & Administration

  • Coordinate office supplies, kitchen stock, security fobs, mailroom and recycling
  • Support set-up for town halls, events and company-wide meetings
  • Manage desk moves and office floor-plan updates
  • Provide administrative support to the EA and HR team as needed
  • Update and maintain HR documentation, policies and organisational charts
  • Coordinate training logistics including room bookings and set-up
  • Assist with employee engagement and wellbeing activities
Your Profile
  • 5+ years in a similar reception, office coordination or facilities role
  • Background in corporate or professional services environments
  • Highly organised, proactive and able to manage multiple priorities independently
  • Strong communicator with a polished, professional manner
  • Proficient in Microsoft Office and Teams/SharePoint
  • Calm, solutions-focused, detail-driven and committed to a respectful, inclusive workplac
