JOB DESCRIPTION

Purpose of Role

To provide high-level administrative and coordination support to the Sales and Account Managers, managing proposal preparation, maintaining accurate client and event records, and ensuring all administrative processes are completed in a timely and thorough manner. This role is administrative-focused and designed for someone committed to professional development, with a clear pathway to future Sales Executive or Account Manager positions.


Main Duties and Responsibilities

Core objectives include:

  • Prepare detailed proposals for exhibitions and events for Sales and Account Managers.
  • Support Exhibitor Sales Coordinators with reactive sales, data entry, and processing for exhibitor sales, including maintaining records and invoicing through Current RMS (hire system).
  • Liaise with the internal design team regarding print requirements and confirm artwork proofs with clients.
  • Coordinate with external suppliers, partners, exhibitors, and stakeholders during exhibition and event planning.
  • Communicate effectively with customers via email and phone.
  • Track event key performance indicators (KPIs) and identify areas for improvement for future events.
  • Maintain sales records, including P&L reports for events, and ensure the CRM system is accurate and up to date.
  • Maintain marketing collateral with the design team, ensure all outgoing sales documents are current, and prepare reporting for marketing channels.
  • Assist Sales and Account Managers with preparation for tradeshows and internal sales activities, including research and collation of information before and after each event, and client appreciation actions.
  • Provide onsite support at events from time to time, assisting Exhibitor Services or delivering events, including some evenings and weekends.
  • Comply with legal and WH&S procedures to ensure personal and team safety.
  • Undertake any other duties required to meet the overall objectives of the company.

Other duties:

Fulfil additional responsibilities as required by management and other departments.


PERSON SPECIFICATION

Qualifications

  • Ability to work independently to strict deadlines, with a calm and methodical approach.
  • Proven ability to work collaboratively with internal and external teams and partners.
  • Preferably experienced in coordinating small to large-scale exhibitions.
  • Familiarity with Current RMS or a similar hire/rental system.
  • Proficiency in Canva, Microsoft Outlook, Word, Excel, and PowerPoint.

Experience

  • Strong customer contact skills.
  • Excellent written and verbal communication abilities.
  • Previous experience in a sales coordination role within exhibitions or events (advantageous).
  • Exceptional attention to detail and strong organisational skills.
  • Ability to manage multiple projects simultaneously.
  • Initiative and self-direction.
