About the Role:

Toyota Material Handling Australia (TMHA) are seeking a Field Service Controller (Scheduler) to join our fantastic team at our Melbourne Branch, on a full-time, fixed-term basis. Reporting to the Field Service Manager, the Field Service Controller (Scheduler) will be responsible for coordinating and optimising the scheduling and dispatching of Field Service Technicians to customer sites to address breakdowns, scheduled maintenance and repairs.

The ideal candidate will have excellent communication skills, a strong ability to multitask and problem solve, and a keen eye for detail. This role requires effective coordination with various departments to ensure timely and efficient resolution of customer requirements.

Key Duties & Responsibilities:

  • Efficiently schedule and dispatch Field Service Technicians to customer locations based on geographic location, skills, and urgency of service requests.
  • Monitor real-time field activities and adjust schedules as necessary to meet customer needs and ensure timely completion of service jobs.
  • Communicate job details, including location, customer contact information, and service requirements, to field technicians accurately and promptly.
  • Optimise routes and schedules to minimise travel time and maximise efficiency, reducing operational costs where possible.
  • Handle customer enquiries in a professional and empathetic manner, working towards swift resolution.
  • Collaborate with field technicians and other relevant departments to troubleshoot and resolve on-site issues efficiently.
  • Maintain accurate records relating to service and breakdown jobs.
  • Coordinate quoted Additional Repair job & third-party suppliers for breakdown jobs.
  • Monitor service Work In Progress.
  • Monitor technician's work hours on a daily basis.
  • Generate regular reports on service metrics, including response times, completion rates, job totals etc and present findings to Field Service Manager.

About You:

  • Previous experience in a similar role is advantageous but not essential.
  • Experience in the Material Handling Industry or Industrial Services Industry also advantageous but not essential.
  • Strong computer literacy including the proficient use of Microsoft Office applications (Outlook, Excel etc.).
  • Experience using an ERP system (M3, SAP etc) advantageous.
  • Proven ability to plan and prioritise work.
  • Superior communication, interpersonal & time management skills.
  • Strong telephone skills and experience responding to a high volume of queries over the phone and/or email.
  • Proven ability to effectively resolve problems in a timely manner.
