The Opportunity
Qube Grains are looking for a dedicated and detail-oriented Operations Support team member to join our growing Grains Team, focusing on Container export requirements.
As the critical interface between trading and operations, the role primarily involves contract administration, data entry, data dissemination, system maintenance and record keeping. The successful candidate will provide exceptional customer service, ensuring contracts are fully executed within contracted timeframes. The ideal candidate will possess strong time management skills, the ability to prioritize tasks effectively, and exemplary communication skills.
Your Role and Responsibilities
Contract Administration:
- Assist with the preparation, review, and management of contracts and agreements related to grain transactions.
- Ensure all packing documentation is accurate, complete, and compliant with company policies and industry regulations.
Data Entry and Record Keeping:
- Perform accurate data entry into relevant databases and management systems.
- Maintain organized and up-to-date records for contracts, transactions, inventory, and other operational data.
- Accurately recording and maintaining cost accruals.
- Ensuring timely execution of export document despatch and receipt of payment.
Customer Service:
- Act as a point of contact for customers regarding grain orders, inquiries, and issues.
- Investigate and resolve customer issues efficiently, ensuring high levels of customer satisfaction.
General Support:
- Provide general support to the wider Grains team.
- Collaborate with other departments to facilitate effective communication and operational efficiency.
Skills and Experience that you possess
- Previous experience in operations coordination, contract administration, or a similar role, preferably in the agricultural or grains industry.
- Meticulous attention to detail and strong organizational skills.
- Excellent time management abilities and capacity to prioritize tasks effectively.
- Exemplary written and verbal communication skills, with the ability to interact professionally with internal teams and external stakeholders.
- Intermediate to advanced computer skills, including proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with data management software or ERP systems.
- AgTech & Impex Docs experience preferred but not essential.
- Strong problem-solving skills and a proactive approach to challenges.
- Ability to work independently and as part of a team in a fast-paced environment.
- Adaptability and willingness to learn new processes and systems.
