About the Role
On behalf of our client, we are seeking an experienced Administration Assistant / Legal Secretary to provide high-level administrative and secretarial support to one of the firm's Partners. This position is primarily focused on personal injury and workers compensation claims, with occasional involvement in wills and probate matters.
The role requires an organised, professional individual who can work autonomously while being part of a supportive team that includes a dedicated filing clerk and several floating assistants. The Partner maintains a relatively light caseload of approximately 40 files, allowing for a high-quality, personalised approach to client service.
Key Responsibilities
Secretarial & Typing
Prepare, format and edit legal correspondence, documents, and reports from written notes or dictation
- Accurately type and prepare letters, court documents and other legal materials for settling by the Partner
Client Communication
Answer incoming calls, respond to client queries regarding appointments, case progress and correspondence from workers compensation insurers
- Handle technical or case-related questions where possible and triage matters to be referred to the Partner as required
- Take detailed and accurate telephone messages, ensuring timely follow-up
File & Matter Management
Assist with opening, maintaining and closing client files in accordance with firm procedures
- Coordinate diary management, including scheduling client meetings, mediations and court dates
- Liaise with internal and external stakeholders, including clients, insurers, medical providers and other solicitors
Document & Correspondence Management
Draft standard correspondence and forms for review by the Partner
- Prepare settlement documents, briefs to counsel and other matter-related paperwork
General Administrative Support
Ensure the Partner's day-to-day workflow runs smoothly and efficiently
- Collaborate with floating assistants and filing clerks to ensure deadlines are met
- Maintain confidentiality and handle sensitive information with discretion
Skills & Experience
Essential:
- Proven experience in a legal secretary or administration assistant role, preferably within workers compensation, motor vehicle accident claims or personal injury law
- Strong understanding of legal processes, terminology and documentation relevant to these practice areas
- Excellent typing speed and accuracy
- Professional telephone manner and strong interpersonal skills
- High level of organisational ability and attention to detail
- Ability to work autonomously while contributing to a collaborative team environment
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel)
Desirable:
- Experience in wills and probate work
- Familiarity with South Australian court processes and workers compensation insurance matters
