Position Overview

We are currently seeking a friendly, organised, and professional Receptionist / Administration Assistant to join our Kelmscott office.

This role is the face of our organisation, providing exceptional first-point-of-contact service while supporting day-to-day administrative operations.

The successful applicant will thrive in a fast-paced environment, be confident in handling multiple priorities, and have a proactive approach to helping the broader team.

Key Responsibilities

  • Manage front-of-house operations, including greeting visitors, clients and answering calls and emails.
  • Maintain office presentation, supplies, and general upkeep of shared spaces.
  • Assist with onboarding and entering leave forms
  • Check the completeness of employee activity cards and ensure all details are accurate before entry.
  • Preparation of administrative documents.
  • Support data entry, filing, scanning, and record management tasks.
  • Coordinate incoming and outgoing mail, deliveries, and couriers.
  • Provide general administrative assistance to management and departments as required.
  • Maintain and oversee the retention, archiving, and secure disposal of project and company documentation in both electronic and hardcopy formats.
  • Contribute to the continuous improvement of administrative processes and systems.
  • Assist in quality assurance activities, including internal and client audits.
  • Support the development and implementation of administrative policies, procedures, and other documentation.

About You – What You Need to Succeed

  • Previous experience in a Reception or Administration role is preferred but not required.
  • Professional communication and interpersonal skills with a customer-focused attitude.
  • Strong organisational and time-management abilities.
  • Computer literacy, particularly with Microsoft Office.
  • Ability to work both independently and collaboratively in a team environment.
  • Positive attitude, reliability, and attention to detail.
  • Proven ability to prioritise tasks and manage time effectively in a dynamic environment.
  • Customer-focused approach with experience managing competing priorities calmly and efficiently.
  • Skilled in building rapport, fostering strong relationships, and communicating effectively with diverse audiences.
