About the position

An exciting opportunity exists within the Arts & Culture Department for the position of Venue and Event Services Officer working within the Frankston Arts Centre Hospitality and Venue Operations area,

The main responsibilities will include:

  • Provide administrative support to the Team Leader Venue Hire and Front of House and Production and Technical Operations
  • Support the development and distribution of staff rosters for ensuring adequate coverage aligned to event schedules
  • Monitor staff availability and coordinate roster changes or shift replacements as required
  • Communicate clearly with casual and permanent staff regarding roster changes, shift expectations, and event details
  • Act as a central contact point for coordination and information-sharing across operational teams
  • Build and maintain strong working relationships with internal staff, casual employees, contractors, and hirers to support collaborative and efficient operations
  • Provide general administrative and clerical support as required
  • Maintain accurate records and systems related to venue bookings, event schedules, rosters, compliance documentation, and procurement

This is a full time permanent position.

About you

  • Ability to work under pressure in a busy and demanding environment
  • Proven administrative skills and strong commitment to customer service and stakeholder relationships
  • Flexibility in approach to work practices, with an ability to adapt to and support change in a dynamic environment
  • Well-developed computer skills, knowledge of Microsoft Office suite of products and developments in web technologies
  • Proficiency in the use of Microsoft applications, including Outlook, Word and Excel
  • Proficiency in Event Management and rostering systems – Ungerboeck, Humanforce or similar is desirable
  • Able to communicate effectively in both written and verbal communication to a range of stakeholders
  • Skills in managing time, responding to priorities, planning and organising own work
  • Accuracy and ability to attend to detail

This position is a Band 5A currently remunerated at $82,567.33 per annum, plus superannuation. Overtime will be paid as required.
