Job Description

The primary role of the Executive Assistant includes, and is not limited to:

  • Responsible to the Chief Executive Officer for providing confidential, comprehensive executive and administrative support services, including timely referral of important information.
  • Monitor external and internal correspondence to the Chief Executive Officer including their email inbox, action and respond to correspondence where appropriate and highlight any priority items to the Chief Executive Officer.
  • Manage the Chief Executive Officer's diary, appointments, and coordinate communication with external stakeholders including government and non-government bodies.
  • Provide and manage effective communication links between the Chief Executive Officer, Executive Management and Middle Management of Nunkuwarrin Yunti.
  • Provide secretariat support including preparing agendas, coordinating and distributing papers and taking minutes for the Board, Executive and other meetings as required.
  • Support the ethos of Nunkuwarrin Yunti and its role of delivering health and wellbeing services to the Aboriginal and Torres Strait Islander community of Adelaide.
Desired Skills and Experience

ESSENTIAL – includes qualifications, skills, experience and knowledge

  • Completion of post-secondary administrative/business studies or extensive experience relevant to the role.
  • Demonstrated ability to exercise tact and diplomacy, deal appropriately with sensitive and confidential issues and maintaining a high level of discretion and confidentiality at all times.
  • Experience in providing Executive Assistant support services including:

  • the services required as first point of contact for Chief Executive Officer;

  • proven skills in working independently under broad direction only and to identify performance outcomes, plan activities and set priorities to achieve objectives and meet deadlines for self
  • demonstrated high level word processing skills;
  • sound knowledge of office software packages including presentation software, electronic mail, databases and spread sheets and records management systems;
  • proven ability to exercise initiative and judgement and to make sound and timely decisions taking into account stake holders and environmental factors;
  • dealing with people at high levels in other organisations;
  • minute taking, agenda preparation and the preparation, editing distribution of meeting papers.

  • Demonstrated ability to collect, collate and analyse information, edit written material, maintain attention to detail and be consistent with established editorial policy.

  • Knowledge of the diversity of Aboriginal groups and sensitivity in respecting their culture and ability to communicate effectively with Aboriginal people.
  • Ability to work collaboratively as part of a team.
  • Demonstrated high level English language skills, with the ability to communicate clearly, concisely and effectively, both verbally and in writing.
  • Creative problem-solving skills and the ability to think analytically.
  • Sound consultation and negotiation skills, with the ability to recognise and resolve conflict; interpersonal skills which facilitate interaction and cooperation with relevant groups.
  • Possess flexibility, adaptability, and versatility of approach to handle changing work requirements and the ability to support others in an environment of change.
  • Ability to apply professional judgement in relation to operational matters and to maintain high levels of confidentiality at all times.
  • Sound knowledge of the principles and practices associated with Work Health and Safety, Equal Employment Opportunity and relevant Legislative areas including the Associations Incorporation Act 1985 (SA), Australian Charities and Not-for-Profits Commission and Fair Work Act.

DESIRABLE

  • Previous experience as a Executive Assistant to senior executives.
  • Previous experience working with Aboriginal organisations.
  • An understanding of Aboriginal health and well-being issues and the operation of Aboriginal community controlled and community managed services
