We are looking for a proactive Finance Assistant to support our finance and administration team in maintaining accurate financial records, processing transactions, and ensuring timely reconciliation and reporting.

About the Role

As a Finance Assistant, you'll work closely with the Finance Manager and broader team to assist in managing accounts payable and receivable, bank reconciliations, invoicing, and administrative support. This role is ideal for someone looking to grow their finance career in a supportive and dynamic environment.

Key Responsibilities

Accounts Payable & Receivable:

  • Monitor accounts mailbox for remittances and transaction updates

  • Process customer payments and follow up on missing remittance advice

  • Process and reconcile supplier invoices and card payments

  • Handle invoice adjustments, refunds, and payment tracking

Invoicing & Reconciliation:

  • Generate and issue invoices to clients and organisation

  • Match and receipt invoice payments accurately

  • Reconcile financial records between systems and follow up discrepancies

  • Perform monthly bank and expense reconciliations

Reporting & Budget Support:

  • Prepare regular finance reports for internal review

  • Assist in tracking departmental budgets and reporting variances

  • Maintain accurate financial records for audits and reviews

  • Monitor SIL house or departmental expenses and follow up on receipts

Administrative & Systems Support:

  • Set up and update employee payroll information in the systems

  • Verify payroll details including pay rates, super, and tax file numbers

  • Support finance-related HR processes such as onboarding and offboarding

  • Assist with procurement, payment of office vehicle-related expenses, and ordering office supplies

About You

  • Experience in a finance, accounts, or administration support role

  • High level of accuracy and attention to detail

  • Proficient in Microsoft Excel and familiar with accounting software

  • Strong organisational and time management skills

  • Clear communication and a proactive attitude

  • Ability to work both independently and as part of a team

Desirable

  • Experience with finance systems (e.g. 2Cloudnine, Sage Intacct,)

  • Understanding of reconciliation processes and invoice workflows

  • Exposure to Salesforce or similar CRM systems
