About The Role
The Make Ready Officer plays a key role in supporting the Integrated Planning & Scheduling teams by managing and streamlining administrative and coordination tasks. This position ensures that all work packages are complete, accurate, and ready for handover to depots, enabling efficient delivery of operational programs. The role requires strong attention to detail, proficiency in Excel, and the ability to work effectively in a fast-paced environment with competing priorities.
Key Responsibilities
- Prepare and organise electronic and hard copy job folders for Optimisation Specialists and Depot personnel.
- Perform quality control checks on work packages to ensure all documentation and tasks are complete before delivery.
- Raise and maintain purchase requisitions for goods and services, and process invoice receipting accurately and promptly.
- Create and manage work orders for short lead-time tasks to support scheduling and delivery teams.
- Provide general administrative support to the Powerline, Electrical, and Program Delivery teams.
- Coordinate with planners and schedulers to ensure smooth workflow and timely delivery of operational activities.
- Maintain accurate records, track progress of work packages, and update relevant systems and databases.
- Work effectively in a fast-paced environment, managing multiple priorities, interruptions, and changing deadlines.
Skills And Experience Required
- Strong attention to detail to ensure work packages are accurate and complete before handover.
- Experience in administrative support within a fast-paced office environment, preferably in operations, planning, or scheduling.
- Proficiency in Microsoft Excel (moderate level) and general computer literacy for managing data and documentation.
- Organisational and time-management skills to handle multiple priorities, interruptions, and conflicting deadlines.
- Ability to work collaboratively with internal teams, including planners, schedulers, and depot personnel.
- Effective communication skills, both written and verbal, to liaise with team members and stakeholders.
- Problem-solving and quality control abilities to identify and correct errors in work packages before delivery.
