A Project Coordinator ensures smooth execution of immigration and recruitment projects by managing timelines, resources, communication, and compliance. They act as the bridge between clients, internal teams, and external stakeholders.

Key Responsibilities

1. Project Planning & Coordination

- Develop and maintain project timelines for visa applications and recruitment campaigns.

- Coordinate with immigration advisors, recruiters, and legal teams.

- Track milestones such as visa lodgement, candidate interviews, and onboarding.

2. Client & Stakeholder Communication

- Serve as the primary point of contact for clients and candidates.

- Provide regular updates on project status and timelines.

- Handle queries and escalate issues when needed.

3. Documentation & Compliance

- Ensure all documentation (e.g., visa forms, employment contracts) is complete and submitted on time.

- Maintain compliance with immigration laws and recruitment regulations.

- Assist in audits and reporting.

4. Resource & Task Management

- Allocate tasks to team members based on priority and availability.

- Monitor workloads and adjust assignments to meet deadlines.

- Use project management tools (e.g., Asana, ) to track progress.

5. Risk & Issue Management

- Identify potential delays or conflicts early.

- Escalate critical issues to management.

- Implement contingency plans when needed.

Education/Experience Requirements

- Bachelor's Degree in Business Administration, Management, Human Resources, or related field.

- 3–5 years of relevant experience in a similar field or industry.

- Strong organizational and time management skills.

- Excellent communication and stakeholder management.

- Familiarity with immigration processes and recruitment workflows.

- Proficiency in project management software.

- Ability to multitask and manage competing priorities.

- Attention to detail and problem-solving mindset.
