MAIN DUTIES/RESPONSIBILITIES:

Working in conjunction with the Business Manager, this position is responsible for assisting with the running and coordinating the day-to-day administrative duties of the Company. This position is a main point of contact for the general public, employees, head contractors and project managers, providing administrative support and responding to their queries.

Responsible for maintaining Company information online, preparing reports as required, organizing filing systems and distribution of company and project related information.  Booking of meetings, taking minutes, arranging travel bookings, and maintenance of the company calendar. Creation and updating of Company policies, procedures and WHS documentation.

SKILLS & EXPERIENCE

Mandatory Qualifications:

  • Experience in office management and high-level administrative support
  • Drivers Licence
  • Proficiency in MS Office suite of applications
  • Proficiency in using an Integrated Management System
  • Knowledge of Project and Task Management

Desirable Qualifications:

  • Formal qualification in Business Administration
  • Proficiency in MYOB Essentials
  • Ability to read demolition plans, interpret client queries and create quotes
  • Ability to operate online databases for project/task management

Experience:

Minimum 2 years previous experience in a similar role.

Skills:

  • Demonstrated high-level administration and organisational skills.
  • High-level problem-solving skills, and the ability to prioritise tasks.
  • Experience in dealing with confidential information, and demonstrated capacity to maintain confidentiality and professional standards of behaviour in sometimes difficult circumstances.
  • Well-developed liaison skills, including excellent communication skills with a range of public, internal and commercial stakeholders.
  • Excellent time management skills including working to deadlines, attending to detail at all times.
  • A proactive, collaborative mindset and demonstrated capacity to work independently and within a team environment.
  • Demonstrated high level writing skills and advanced MS Office skills.
  • Understanding of, and ability to implement mandatory WH&S processes and procedures.
  • Ability to operate online management systems, to maintain project records, and comply with WHS requirements.
  • Ability to prioritise tasks, and efficiently multi-task.
