What this job involves:
As a Workplace Ambassador at JLL, you will serve as the primary Corporate Reception representative for Amazon Australia while acting as the Administration & Facilities primary point of contact for ANZ Operations, creating exceptional first impressions and workplace experiences through comprehensive front-of-house services. This dynamic role combines reception excellence with administrative and facilities support, requiring you to manage ticketing systems, coordinate meetings and events, oversee pantry management, conduct facilities inspections, and maintain budget oversight while interfacing with members from all organizational levels and the public. You will play a crucial role in JLL's commitment to delivering outstanding client service by proactively engaging stakeholders to ensure on-site client expectations are met, building effective relationships across multiple organizational levels, and maintaining professional workplace environments that enable productivity and collaboration.
What your day-to-day will look like:
- Perform office opening and closing procedures while greeting guests and working closely with onsite security team to issue visitor badges
- Manage meeting room scheduling and coordination while maintaining professional appearance of all meeting rooms and reception areas
- Check client ticketing system for meeting and event bookings while assisting with coordination per Event Management SOP and room conversions
- Order weekly snack, fruit, and beverage supplies while overseeing ongoing development of pantry program and maintaining kitchen areas
- Assist local GREF management during high volume periods while supporting facilities team with various tasks as needed
- Maintain Site PO Trackers and capture pantry spend accurately while ensuring financial processes are followed and assisting with invoicing
- Conduct facilities inspections and raise facilities issues via Corrigo timely while facilitating vendor/contractor inductions when required
- Report EHS matters onsite and assist in carrying out safety procedures while ensuring provision of safe working environment.
Required Qualifications:
- Experience in corporate reception or front-of-house customer service roles
- Strong interpersonal and communication skills with friendly, pleasant, and energetic personality
- Ability to interface effectively with members from all organizational levels and the public
- Administrative skills with experience in meeting coordination, scheduling, and basic financial processes
- Customer service excellence with focus on stakeholder engagement and relationship building
- Organizational skills with ability to manage multiple tasks including pantry management and facilities coordination
- Understanding of workplace safety procedures and EHS reporting requirements
- Proficiency with ticketing systems, scheduling software, and basic office technology.
Preferred Qualifications:
- Background in facilities management or workplace services
- Experience with Amazon or similar corporate environments
- Knowledge of Event Management SOPs and room setup/conversion procedures
- Familiarity with Corrigo or similar facilities management systems
- Understanding of vendor/contractor induction processes
- Experience with budget management and PO tracking systems
- Knowledge of KPI and SLA management in service delivery environments
- Background in office relocation support and hands-on practical assistance.
