OFFICE ADMINISTRATOR

Job Overview

Ensures proper flow of office procedures and supports the Office Manager by carrying out common office duties. Maintains a positive and friendly company image by acting as the first line of contact to visitors, customers, and vendors in person, online, and via telephone.

Duties:

  • Manages correspondence by answering emails and sorting mail.
  • Manages reception area and looks after visitors.
  • Answers phone calls and transfer them as necessary.
  • Drafts, formats, and prints relevant documents.
  • Job specific photocopying, filing and emailing.
  • Maintains stock lists and orders office supplies as needed.
  • Provides all necessary office support to the team.
  • Interact with managers and carry out their requests.
  • Enters and processes Sales Orders.
  • Assists sales representatives and managers with entering sales orders correctly.
  • Checks that sales orders are entered correctly and checks pricing and general order details.
  • Assists the dispatch manager with organizing and prioritizing shipments of stock.
  • Corresponds regularly with sales representatives and managers and answers any queries or requests they may have.
  • Manages outgoing post.
  • Manages Consignment stock held at resellers.
  • Attend workshops and conferences when requested.
  • Attend regular meetings as scheduled.
  • May take care of website functions and social media profiles

Office Administrator Skills and Competencies:

· Prior administration experience preferred but not vital.

· Customer service focused: committed to providing exceptional customer service across all channels – written, phone and face to face.

· Attention to detail: excellent attention to detail and written skills when communicating with others, both internally and externally.

· Communication: the ability to communicate clearly and concisely, varying communication style depending upon the audience. Able to follow instructions & ask questions when uncertain of information or process.

· Commerciality: ability to apply knowledge in a practical, commercial manner.

· Teamwork: willingness to assist and support others as required and get on with team members.

· Time management/organisation: accomplish objectives effectively within time frame given and carry out administrative duties within portfolio in an efficient and timely manner. Able to set own work priorities & use initiative when required.

· Ability to work without supervision.

· Technical skills, including proficiency with Microsoft office programs.

· Ability to handle confidential information.

· Strong record keeping skills.

· Presentation skills, including welcoming guests to the office and events.

· Ability to multitask.

· Ability to solve problems.

· Candidates must have Australian work rights for this position.

· Minimum education requirement is Year 12 completion.
