About the role:

The Senior Divisional Coordinator is responsible for coordinating the operational and administrative functions of the Office of the Deputy Secretary, Budget Finance and Investment.

The Senior Divisional Coordinator effectively manages core business and corporate functions of the Office, ensuring timely and accurate coordination of briefings, Divisional corporate planning and reporting, risk management and reporting, audit processes, coordinating PAEC briefings, and business continuity planning, HR, information and records management, and other business support activities.

The role requires a high level of professionalism, ability to communicate sensitively and effectively, problem-solving and initiative. The Senior Divisional Coordinator responds to a range of queries and provides sound advice on relevant department policies, processes and procedures. They communicate effectively with a range of internal and external stakeholders, including other executive and ministerial offices. The role involves managing multiple priority commitments.

The successful candidate will be highly organised, demonstrate exceptional communication and relationship management skills, and have in-depth knowledge of relevant department systems, policies, and processes. The role would suit a highly motivated individual who can operate independently in a dynamic environment and seeks to continuously improve workflow efficiency in collaboration with other divisional offices.

About you:

The Department of Health is seeking a highly skilled Senior Divisional Coordinator to support the effective management and coordination of projects within the department. The successful candidate will be responsible for managing complex projects by consulting, liaising with, and influencing key stakeholders to ensure objectives are met on time and within scope. They will develop detailed project plans, monitor progress, manage risks, and proactively resolve issues to ensure the success of each project.

The role requires strong organisational skills, including the ability to set and prioritise objectives, allocate resources, and establish systems and procedures to guide work. The ideal candidate will demonstrate expertise in recognising barriers and finding effective solutions to challenges that arise during project execution.

Excellent written and verbal communication skills are essential. The Senior Divisional Coordinator will be responsible for preparing clear, concise, and accurate written reports, briefs, and correspondence, while also communicating effectively with a range of stakeholders. The role requires an ability to understand the target audience and adapt communication style accordingly.

A proactive problem-solver, the successful candidate will be able to analyse complex issues from multiple perspectives, propose practical solutions, and ensure that actions are taken to resolve problems. They must also demonstrate strong organisational awareness, understanding both internal and external pressures and using their knowledge to influence decisions and drive positive outcomes.

Candidates should have the ability to manage their own performance, welcome feedback, and demonstrate self-awareness to improve their personal and professional growth. Strong interpersonal skills and the ability to navigate sensitive situations with professionalism will also be key to success in this role.

Mandatory

  • Demonstrated knowledge of and experience in managing and supporting departmental executive functions and processes would be advantageous.

Desirable

  • A qualification in business, project management and or working in government would be advantageous but not required.
