Senior Transport Allocator

OVERALL PURPOSE OF THIS POSITION:
The Senior Transport Allocator is responsible for the effective coordination and allocation of transport resources across Icehouse Logistics' 3PL transport and warehousing operations at Wacol. This role ensures the efficient, safe, and compliant movement of freight while maintaining high levels of customer service and operational accuracy.
MAIN RESPONSIBILITIES & ACCOUNTABILITIES:
· Plan, schedule, and allocate transport resources to meet daily operational requirements.
· Optimise fleet utilisation to reduce costs and improve service delivery.
· Monitor delivery performance and proactively resolve delays or issues.
· Coordinate with warehouse operations to align loading/unloading with driver schedules.
· Ensure compliance with Chain of Responsibility (CoR), fatigue management, and National Heavy Vehicle Regulator (NHVR) requirements.
· Maintain regular communication with customers regarding deliveries, timeframes, and any service changes.
· Provide clear instructions and support to drivers and subcontractors to ensure accurate and on-time deliveries.
· Work with Heavy Vehicle Compliance Mgr to service vehicles
· Manage day-to-day coordination of subcontractor fleet resources, ensuring service quality and compliance.
· Verify, reconcile, and approve subcontractor invoices in line with contractual agreements.
· Support subcontractor compliance with Icehouse Logistics policies and NHVR obligations..
· Accurately record allocation activities in the transport management system (TMS).
· Monitor KPI performance and contribute to reporting on service levels, fleet utilisation, and delivery compliance.
· Assist with cost monitoring, service performance analysis, and compliance reporting.
HSEQ RESPONSIBILITIES:
· Ensure allocation of drivers and vehicles complies with fatigue management, load restraint, and NHVR legislation.
· Promote and enforce a safety-first culture across transport operations.
· Immediately report hazards, incidents, and near misses in line with company policy.
· Participate in safety meetings, audits, and corrective action initiatives.
· Monitor and maintain records required for compliance audits.
QUALIFICATIONS, SKILLS and EXPERIENCE:
· Previous experience in transport allocation within a 3PL or logistics environment (minimum 3–5 years).
· Strong understanding of CoR, fatigue management, and NHVR compliance requirements.
· Proven experience in subcontractor coordination and invoice reconciliation.
· Strong communication and interpersonal skills to liaise with drivers, subcontractors, customers, and internal teams.
· Problem-solving mindset with the ability to make decisions under pressure.
· Proficiency in transport management systems (TMS) and Microsoft Office Suite.
· Demonstrated leadership and mentoring skills.
