About the role

We are seeking an experienced and proactive Executive Assistant to join our Family office based in Bella Vista, Sydney. As our Executive Assistant, you will provide comprehensive administrative support to the Director. This is a full-time position with a wide range of opportunities for career development within the family office, or one of it's companies.

What you'll be doing

  • Providing high-level administrative support to the director, including diary management, travel arrangements, meeting coordination and minute-taking
  • Handling a wide range of correspondence and communication on behalf of the director
  • Assisting with project coordination and research tasks as needed
  • Maintaining and organising office systems, files and records
  • Offering a first point of contact for internal and external stakeholders
  • Contributing to the smooth running of the office and supporting the wider administrative team and company executives

What we're looking for

  • Significant experience as an Executive Assistant, preferably in a corporate or professional services environment
  • Minimum of 3-4 years of Executive Assistant experience is required for this position
  • Excellent communication and interpersonal skills, with the ability to liaise effectively with stakeholders at all levels
  • Strong organisational and time management skills, with the capacity to prioritise tasks and work under pressure
  • Proficiency in using Microsoft Office suite and other office technologies
  • Intermediate level proficiency in Microsoft Office suite is essential
  • Discretion and confidentiality when handling sensitive information
  • A proactive and solutions-oriented approach to your work
  • Australian citizenship or permanent residency is required for this role
