About the Assignment

The Permit Coordinator will work with various Asset Leaders and Managers to coordinate and administer all Santos Offshore tenures in Western and Northern Australia. The position provides skilled permit administration as well as oversight of the scheduling and delivery of permit management activities to ensure compliance with relevant regulations, Joint Operating Agreements, and internal management processes.

The Permit Coordinator will be required to coordinate multiple stakeholders across Santos, government authorities and Joint Venture Parties to deliver permit management outcomes and support business planning and monitoring activities.

Tasks include:

  • Maintaining accurate and organised records of all permits and licenses, ensuring all relevant documentation and compliance deadlines are captured in the corporate database (Landfolio) and/or on SharePoint
  • Supporting compliance with the regulations for all tenures to ensure permits remain in good standing, actively managing and communicating schedules for both internal approvals and regulatory submissions, coordinating permit management activities, and providing documentation templates as required
  • Leading government engagement in relation to permit management and regulatory compliance; remain up to date with all relevant tenure regulations – primarily NOPTA for Commonwealth tenures and DEMIRS for WA State tenures. Coordinating Regulator update meetings as required.
  • Supporting compliance with relevant Joint Operating Agreements (JOAs) through interpretation and communication of JOA requirements and provision of administrative support
  • Supporting both Asset Leaders and the Finance Team with internal budget planning, preparation of annual Joint Venture Work Program and Budgets, and both internal and Joint Venture approval documentation
  • Working with Asset Leaders to prepare periodical reports, including Annual Tittle Assessment Reports, and other tenure applications (e.g. renewals, variations, suspensions & extensions), and submit to the Regulator
  • Managing payment of annual license, application, gazettal and other fees, coordinating internal processes to ensure on-time payments
  • Supporting the planning and delivery of Technical Committee Meetings, Operating Committee Meetings, Joint Venture workshops, and Regulator engagement meetings
  • Working in cooperation with the Finance Team to deliver administrative finance tasks related to tenures management, including supporting the preparation, submission and tracking of budgets and related AFEs
  • Providing summary documentation relating to WA and NA permits for management presentations, quarterly business reviews, Joint Venture meetings, and other business planning activities, as required
  • Conducting all activities in an efficient manner that is compliant with the Santos Management System (SMS), the Santos Delegation of Authority (DOA), and the Santos Corporate Governance and Safety requirements.

This assignment is initially offered for 10 months with possible extension, engaged via Chandler Macleod.

Location for this assignment is Perth working full-time office hours.

About You

  • Tertiary qualification (or demonstrated equivalent professional experience)
  • Experience in a similar role within the oil and gas industry or have held a technical (geoscience or engineering) role in the oil and gas industry is desired.
  • Experience in project management or senior administrative roles
  • Experience working with regulations, legal documents and/or commercial agreements
  • Excellent scheduling and organisational skills, with demonstrated ability to proactively manage activity timelines and multiple stakeholders
  • Attention to detail and motivation to drive high-quality documentation and submissions
  • Strong Microsoft Office skills and the ability to work with other digital systems for document management, applications and submissions, data transfer and team communication
  • Strong English; excellent written and verbal communication skills
  • Highly effective interpersonal skills, with experience in working with and influencing a wide array of stakeholders to ensure compliance and delivery to fixed timelines
  • Experience organising and facilitating business meetings
