Following recent growth, we are now seeking an experienced and motivated Executive Assistant / Assistant Business Manager to support our Business Manager and play a pivotal role in maintaining the operational excellence of our practice.
About the Role
As the Executive Assistant / Assistant Business Manager, you will be the right hand to our Business Manager, ensuring that the day-to-day operations of the practice run smoothly and efficiently. This is a dynamic role with a strong emphasis on leadership, systems management, and administrative oversight.
You will work closely with our medical specialists, administrative team contributing to our culture of quality care, professional development, and innovation.
Key Responsibilities
- Provide high-level executive support to the Business Manager, including diary management, project coordination, and internal communications.
- Oversee and coordinate day-to-day operations in reception, billing, correspondence, and patient management systems.
- Assist with the supervision and support of administrative staff, including rostering, performance management, and recruitment activities.
- Coordinate internal systems and processes to optimise efficiency, including technology tools (e.g., Gentu, XERO, MS Office Suite).
- Support financial administration including accounts payable/receivable, payroll coordination, and reporting.
- Contribute to HR functions, including onboarding, training, and ensuring compliance with workplace legislation.
- Support business development activities including event organisation, stakeholder engagement, and internal/external communication.
- Assist with compliance and accreditation requirements across all areas of practice management.
About You
You are a highly organised, resourceful, and proactive professional with a passion for healthcare administration. You enjoy working collaboratively in a growing business and take pride in maintaining high standards.
Key Skills & Experience:
- Prior experience in a healthcare, medical, or specialist practice setting (essential).
- Strong administrative and organisational skills with the ability to manage multiple priorities.
- Excellent interpersonal and communication skills.
- Experience with medical practice software (e.g., Gentu) and accounting tools (e.g., XERO) highly regarded.
- Sound understanding of Medicare and DVA billing, Private Health Insurance billing, HICAPS, medical terminology, and clinical operations.
- Knowledge of HR processes and employment legislation.
- Ability to work both independently and collaboratively in a team environment.
- High level of discretion and professionalism in handling confidential information.
