Role Overview

This opportunity is especially suited for energetic young people—such as students or those early in their careers—who are eager to gain experience in events, sports, and guest engagement while working in a fun and social environment.

The Sports Party Coordinator is the face of SmashX for every party and event. In this part-time/casual role, you will be responsible for planning and executing sports-themed birthday parties and events, with shifts primarily on weekends and evenings—our peak times for celebrating. You'll lead immersive experiences, oversee party logistics, coordinate with vendors, and ensure every detail is tailored to delight our guests. This position is ideal for someone who thrives under energetic, time-sensitive conditions, and finds joy in bringing people together.

Key Responsibilities

• Plan & Execute Sports Parties: Develop and deliver sports-themed birthday parties and special events, catering to a wide range of ages and preferences.
• Lead Immersive Guest Experiences: From facility setup to orchestrating games, managing food and cake time, and organizing the party wrap-up, you will guide the flow of the event, making sure every guest feels special.
• Ensure Top-Notch Quality & Safety: Manage sport equipment, oversee party flow, and implement safety procedures on site. Your vigilance will guarantee that parties are not only fun but also secure for all attendees.
• Vendor Relations: Communicate and coordinate with caterers, suppliers, and external partners to ensure all aspects of the party—from food to decorations—run smoothly.
• Drive Guest Satisfaction: Maintain a welcoming, energetic, and organized environment that puts families and kids at ease, ensuring parties are memorable for all the right reasons.
• Capture & Elevate Moments: Engage guests in the excitement of the day and use your storytelling skills to capture special moments for SmashX's social media presence, amplifying the joy beyond the event itself.

Must-Have Experience & Skills

• Event Coordination Experience: At least one year in a similar role, such as sports, recreation, or party/event coordination.
• Organizational & Multitasking Ability: You handle multiple tasks with composure and efficiency, especially when the energy is high and time is short.
• Excellent Communication & Interpersonal Skills: You connect effortlessly with kids, families, and your colleagues, using clear communication and a friendly attitude to make everyone feel welcome.
• Leadership & Team Coordination: You can lead groups in fun and engaging activities while keeping an eye on logistics and ensuring everyone is involved.
• Safety-First Mindset: You understand and implement safety protocols, particularly in sports environments, and you're committed to maintaining a secure experience for all.
• Working with Children Check: A valid Working with Children Check is mandatory to ensure the safety and wellbeing of all children attending events.
• Technical Proficiency: You're confident using basic planning software, scheduling tools, Excel, or event-management apps to keep things running smoothly.
• Flexible Availability: You're ready to work evenings and weekends, and you understand that party magic often happens outside the nine-to-five.
