YK Education is a thriving and innovative private tutoring college located in St Leonards, NSW operating from comfortable, secure premises and providing face to face and remote teaching services. We are dedicated to providing professional semi-private tutoring services to students from Years – specialising in Maths, English and Japanese subjects. The founder, Yuna Kubota, is an experienced NSW Secondary School Teacher who had a vision of developing a program that puts students at the centre of their education by catering to their individual needs. About the job

This is not your ordinary administration / receptionist job. There is plenty of room for innovation and experimentation – from decorating the office and making posters to implementing new software - so the role is for someone who has plenty of energy.When students are at the centre, you'll be the helpful coordinator. You'll be organised and have a strong ability to plan ahead with high attention to detail and be equally at home with keeping tabs on what is happening with students and tutors. You'll be friendly, inclusive and interested in building connections and are able to keep detailed records of significant updates discussed with students and tutors. When not attending to students and tutors, you'll be assisting with a range of tasks such as scheduling, preparing data for payroll, data entry for invoicing, and attending to unexpected situations around the centre. Some Social Media management and email automation is required: liaising with staff and final checks before posting, and ensuring the social media calendar is followed. Templates are in place – and as long as you have strong written communication and are willing to learn, no prior experience is necessary. You enjoy working both autonomously and as part of the team. From time to time you'll be managing the Centre – so some experience in managing people would be advantageous. You have strong communication skills across the board.

Responsibilities of the role

As Centre Co-ordinator your role will include:

  • Day to day co-ordination of the Centre on the days worked, including: opening and closing, preparation of classrooms for teaching sessions, ensuring technology is ready for classes (eg Zoom, etc), ensuring Tutors have arrived prior to session commencement; attend to connection problems, answer phone calls / emails as required.
  • Reception duties: greeting students and parents, explain structure and assist new students setup, communicate with parents / students;
  • Communicate with parents and tutors regarding cancelled lessons and arrange work for Tutor if cancellation cannot be filled
  • General administrative tasks including invoicing, payroll or payroll management, co-ordinating regular email newsletters and social media updates, along with arranging social gatherings for the team and end of term parties; accurate record-keeping of student information, tutor profiles, organise and communicate term dates and holiday lessons, etc
  • Administrative assistance with Recruitment of new Tutors
  • Scheduling and timetabling: scheduling of classes; communication with students, parents and tutors; new student trials; changes in line with student / tutor cancellations
  • Student experience management: check-in with students, monitor progress, check-in with tutors; ensure access to relevant courses, etc, respond to parent requests / concerns.

Selection Criteria

Whilst experience the education sector will be highly regarded, we are also open to the possibility of a strong operations and customer service professional with an interest in management of social media who is looking to work in a busy, growing business, with the mentorship of a highly qualified and experienced educator. Additionally, you will have:

  • Strong written and verbal interpersonal skills with customer-centric approach
  • Excellent organisational skills with a high attention to detail
  • Knowledge and experience in general office procedures and technology (intermediate level MS Office and GoogleSuite); Canva (desirable)
  • Knowledge of NSW High School Education (desirable)
  • Experience in both autonomous work and working as part of a team.
  • Experience managing others – both onsite and remotely
  • Demonstrated ability to problem-solve, take initiative to improve systems and processes
  • Demonstrated basic use of CRM, Social Media Platforms and email automation
  • Demonstrated ability to prioritise.
  • A current Working with Children Check (WWCC)
  • A current Police Clearance
