Job Description

Performs routine administrative duties such as drafting correspondences, scheduling appointments, organising and maintaining data, as well as assisting internal and external stakeholders

1. Contribution Reconciliation

  • Perform monthly reconciliations between employer payroll schedules, payment records, and fund administration systems.
  • Identify and investigate variances, missing payments, or unmatched members.
  • Maintain accurate audit trails and reconciliation logs.
  • Work closely with the Payroll Administration team to resolve discrepancies timeously.

2. Unallocated Deposits Management

  • Review and investigate all unallocated deposits daily.
  • Identify the source of funds and ensure allocation to employer records via the Payroll Administration team
  • Escalate unresolved or aged items for management attention.
  • Contribute to reducing unallocated balances within target timelines.

3. Reporting & Governance

  • Compile and submit monthly compliance and reconciliation reports.
  • Support management in preparing dashboards and summaries for governance meetings.
  • Ensure that internal controls, segregation of duties, and audit standards are consistently applied.
  • Contribute to process improvement initiatives enhancing data accuracy and compliance monitoring.

4. Stakeholder Engagement

  • Liaise with internal departments (Payroll Admin, Finance, Employer Services, Audit) to resolve variances and compliance gaps.
  • Communicate with employers on missing contributions, incorrect schedules,

Skills/Knowledge/Expertise

  • Retirement Fund Experience and Knowledge
  • Finance Diploma (advantageous)
  • Finance knowledge (Suspense account knowledge advantageous)
  • MS Excel (Intermediate)
